Job Summary

The Center of Excellence (COE) Support is a critical role designed to assist Senior Specialists in executing COE initiatives across various business functions. This role focuses on providing comprehensive support in process improvement, procedural guidance, administrative tasks, data analysis, reporting, and logistics preparation. The ideal candidate will possess strong organizational skills, analytical abilities, and a collaborative mindset to effectively drive COE objectives and enhance operational efficiency.

Key Responsibilities

HR Operations & Governance

  • Provide administrative support for HR operational activities, including onboarding, offboarding process, labor contract management, social insurance and tax administration.
  • Manage time and attendance data to ensure leave and overtime records are accurate for payroll processing.
  • Organize and maintain HR documents, Employee data and records, trackers, and files to ensure information is accurate and up to date.
  • Prepare and submit labor status reports to DOLISA and other required reports in a timely manner and in compliance with legal requirements.
  • Support the documentation of HR processes, standard procedures, and working guidelines.
  • Assist in checking process steps and highlighting gaps, delays, or areas that may need improvement.
  • Collect feedback and support follow-up actions to improve day-to-day HR administration.

Coordination, Reporting, and General Administrative

  • Schedule meetings, prepare agendas, and support follow-up actions for HR activities and projects.
  • Assist with regular reports, trackers, and dashboards to monitor the progress of HR initiatives and activities.
  • Support stakeholders by responding to basic requests for information and directing queries to the relevant HR team members when needed.
  • Assist in the development and documentation of standard operating procedures and best practices to ensure consistency and efficiency across operations.
  • Support the planning and coordination of HR projects by tracking timelines, deliverables, and action items.

Qualifications

Qualifications & Requirements

  • Bachelor's degree in business administration, Human Resources, or a related field.
  • Minimum of 2 years of hands-on experience in HR Operations, administration, or similar roles.
  • Strong interest in building a career in Human Resources.
  • Good written and verbal communication skills.
  • Good organizational and administrative skills with strong attention to detail.
  • Good in Microsoft Excel, Word, and PowerPoint.
  • Able to manage multiple tasks and follow timelines.
  • Willing to learn HR processes and work in a fast-paced team environment.
  • Able to handle confidential information with care and professionalism.
  • Strong learning agility quickly absorbs new information, systems, processes and openness to feedback.
  • Adaptable to change, ambiguity, and evolving business priorities.
  • Problem-solving mindset with the ability to identify issues and propose practical solutions.
  • Ownership and accountability in delivering assigned tasks and commitments.
