Job Description

PRIMARY JOB RESPONSIBILITIES:

We are seeking an HR Operations Executive to support both our people and office functions. This role is key in managing employee lifecycle processes, including onboarding, offboarding, and maintaining accurate HR records. The position also assists with HR documentation, compliance matters, performance review cycles, training follow-ups. In addition, the HR Operations Executive contributes to employee engagement activities and ensures smooth day-to-day office operations by managing administrative tasks and coordinating with service providers.

ACCOUNTABILITIES

Onboarding and Offboarding Support

  • Prepare and manage job offers, labor contracts, and related documents; track expiration dates and maintain proper records.
  • Coordinate onboarding for new hires, including preparing welcome kits, collecting required documents, and supporting orientation activities.
  • Facilitate offboarding processes, including exit interviews, clearance procedures, final settlements, and documentation.
  • Ensure smooth transitions by coordinating with relevant departments during onboarding and offboarding.

HR Operations & Employee Records

  • Maintain employee records and update attendance and leave data.
  • Monitor contract renewals, probation evaluations, and employment status changes.

Office and Administrative Support

  • Manage office supplies, equipment, and cleaning services.
  • Liaise with landlord and service providers to ensure smooth office operation.
  • Support visa, work permit, and insurance registration for employees.

Performance Management & Training Follow-ups

  • Coordinate periodic performance review cycles, including scheduling, documentation, and follow-up actions.
  • Track training participation and completion; follow up on post-training evaluations and feedback.
  • Support managers in identifying training needs and development plans.

Employee Engagement and Welfare Activities

  • Support internal events and celebrations (Tet, Women's Day, Christmas, etc.).
  • Assist with employee welfare, safety, and wellness initiatives.

General and Ad-hoc Support

  • Other tasks assigned by managers from time to time.

QUALIFICATIONS

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • Minimum 3 years of experience in HR and administrative roles
  • Good command of English (both written and spoken).
  • Proficient in MS Office (Word, Excel, PowerPoint)
  • Strong organizational and communication skills with attention to detail.
  • Open-minded, proactive, and willing to learn and adapt in a dynamic environment.
  • Responsible and reliable, with a strong sense of ownership and accountability in daily tasks.
