Job Description

On/Off-boarding Process Control

  • Support the end-to-end employee lifecycle administration, including onboarding, internal transfers, and offboarding processes.
  • Collect, verify, scan, and file required employee documents in compliance with the company's due diligence requirements.
  • Register and terminate benefits in kind (e.g., private insurance) for new hires and leavers in a timely manner.

HR Information System

  • Maintain accurate and up-to-date employee data in the HRIS (HiBob), ensuring all records - including personal details, job information, compensation, and contract type - are complete, compliant with internal policies, and audit-ready at all times.
  • Manage organizational structure data in the system, including reporting lines, approval matrices, cost center assignments, and headcount updates following any restructuring or role changes.
  • Perform regular data audits to identify and correct inconsistencies, duplicate records, or missing fields across employee profiles.
  • Support the configuration and ongoing maintenance of automated HR workflows in HiBob (onboarding, offboarding, performance reviews, leave management, and overtime requests) to ensure a seamless employee experience.
  • Generate ad hoc and scheduled system reports to support HR analytics, audits, and management decision-making.

Payroll & Tax Management

  • Provide high quality support for the payroll function, covering both local staff and expatriate secondees.
  • Consolidate monthly payroll changes (new joiners, leavers, promotions, salary adjustments) and submit to the payroll vendor for processing.
  • Consolidate monthly attendance records; compile and verify overtime hours submitted by employees
  • Supply income and benefit data for items not processed through regular payroll (e.g., allowances in kind) to the payroll vendor.
  • Support Social Insurance claim submissions for sick leave and maternity leave cases.
  • Manage Social, Health & Unemployment Insurance (SHUI) reporting, claims (sick leave and maternity), and monthly reconciliations.
  • Support monthly PIT declaration and annual PIT finalization filling.
  • Review payroll and Personal Income Tax (PIT) reports from the vendor; identify discrepancies and notify the vendor for correction.

Policy/Procedure & Governance Benefit Implementation

  • Understanding and implementing all policies in the Employee Handbook/Internal Regulations/Code of Conduct.
  • Monitor and communicate updates to labor law regulations, decrees, and articles relevant to HR operations.
  • Support the development and rollout of new HR practices, programs, and policies aligned with organizational needs.
  • Advise employees on internal HR policies and procedures.
  • Maintain consistent, up-to-date HR process documentation and ensure its proper utilization across the team
  • Produce and maintain documentation artifacts for HR audits and governance reviews.
  • Coordinate with the TA team and hiring managers to ensure smooth recruitment administration, including issuing offer letters, processing employment contracts, and verifying eligibility to work.
  • Conduct employee due diligence checks in line with Group policy.

Reporting & General Responsibilities

  • Coordinate the annual health check-up program, including scoping requirements, obtaining vendor quotations, and supporting rollout.
  • Prepare monthly, bi-annual, and annual statutory reports for Government submission.
  • Generate monthly HR reports for management (e.g., CEO report, payroll summary, diversity metrics).
  • Partner with the Engagement team to ensure effective communication of process changes across client groups.
  • Support employee benefits administration in coordination with relevant vendors (e.g., laptop awards, engagement programs).
  • Manage visa and work permit processes for expatriate staff relocating to Vietnam.
  • Take on cross-functional responsibilities as they arise and provide general support to the Head as required.

Requirements

  • Minimum 2 years of hands-on experience in HR operations, with solid exposure to payroll processing and statutory compliance.
  • Working knowledge of the Vietnam Labor Code and related regulations.
  • Strong numerical and analytical skills with high attention to detail.
  • Adaptable, proactive, and comfortable working with modern collaboration tools (e.g., Confluence, Slack, HiBob) and AI in day-to-day work.
  • Excellent organizational skills with the ability to manage multiple strict deadlines simultaneously.
  • Prior experience with HRIS platforms (e.g., HiBob or equivalent) and external payroll vendors.
  • Background in multinational or fast-growing companies preferred.
  • Strong interpersonal and communication skills; ability to work cross-functionally with multiple stakeholders.
  • High integrity and discretion in handling sensitive and confidential employee information.
  • Accountable, self-driven, and reliable in delivering assigned tasks on time.
