About the Role

Join Portico & Bridge a leading immigration and investment consultancy in Vietnam as an Executive & Administrative Assistant to the Board of Directors.

We are seeking a bright, open-minded, and highly capable professional to join our Ho Chi Minh City team. If you have at least one year of experience in administration, executive support, or office management, this opportunity is designed for you.

Technical Skills

Proficiency in Microsoft Office (Word, Excel, PowerPoint).

What You'll Do

1. Executive Support & Confidential Administration

Provide high-level administrative and personal support to the Board of Directors, ensuring smooth day-to-day executive operations.

Ensure absolute confidentiality of sensitive corporate information, including strategic decisions, legal matters, financial data, and private correspondence.

Manage, safeguard, and control access to confidential documents such as contracts, legal files, financial records, and executive communications.

2. Executive Communication & Meeting Governance

Schedule, coordinate, and organize executive and management meetings; prepare meeting agendas and ensure all relevant documents are distributed in advance.

Record detailed meeting minutes, document decisions, and clearly track assigned action items.

3. CEO Travel & Monthly Accommodation Management

Coordinate complex domestic and international business travel for the CEO, including flight bookings, visa applications, transportation, and scheduling.

Manage short-term and long-term accommodation arrangements for the CEO, ensuring standards of comfort, privacy, and executive requirements.

4. Human Resources Support & Recruitment (Non-Sales)

Support recruitment activities for non-sales positions, including: Posting job vacancies and Scheduling and coordinating interviews

Support onboarding processes for new hires, including workstation setup, access cards, email accounts, and welcome materials.

Monitor employee attendance and leave records

5. Internal Events & Employee Engagement

Plan, coordinate, and execute internal events such as team-building activities, staff engagement programs, birthdays, and year-end parties.

Support Management in fostering a positive internal culture and employee engagement initiatives.

Office Administration & Facility Management

Manage office supplies and equipment, monitor inventory levels, and place orders when necessary.

Ensure the office environment is clean, organized, professional, and aligned with the company's corporate image.

Coordinate with vendors for regular maintenance of office equipment such as printers, air conditioners, and other facilities.

Support Financial Department to manage and track office utility payments, including electricity, water, internet, and rental fees.

6. Documentation, Records & Archiving

Handle incoming and outgoing correspondence (emails, letters, parcels) and distribute them to appropriate departments.

Maintain a structured filing and archiving system for physical and digital corporate documents, contracts, and legal records.

Draft, format, and issue official internal memos, notices, and documents as requested by Management.

7. Company Regulations & BOD Directives Implementation

Draft and formalize internal regulations, policies, and operational directives as instructed by the Board of Directors.

Communicate company regulations clearly across internal channels (Email, Zalo, internal platforms).

Compensation & Benefits:

Monthly Basic Salary: 12,000,000 VND (Gross) + CommissionMonthly A
