Job Description

Department: HR & Admin

Location: Vietnam Factory

Reports to: Manufacturing Mnaager (GAVN Site Manager) & Group HR Manager

Salary and benefits: Negotiable based on the skills the experiences.

Expected working location: Khu công nghiệp Vĩnh Lộc 2, Xã Mỹ Yên, Tỉnh Tây Ninh, Việt Nam (Work remotely then onsite from 2027)

Position Summary

We are seeking a detail-oriented and proactive HR & Admin Specialist to join our medical device manufacturing team in Vietnam. The successful candidate will be responsible for handling daily human resources and administrative functions, including recruitment, payroll processing, external agency liaison, facility maintenance, EHS compliance, and general office operations. The ideal candidate is a reliable professional with experience in a manufacturing or regulated environment, capable of supporting both workforce and workplace needs efficiently.

Key Responsibilities

Human Resources:

· Manage end-to-end recruitment processes: posting jobs, screening candidates, coordinating interviews, and facilitating onboarding.

· Prepare employment contracts, maintain personnel files, and ensure compliance with local labor laws.

· Assist in employee relations, performance management, and training coordination as needed.

Payroll & Compensation:

· Calculate monthly payroll accurately and timely, including attendance, overtime, allowances, and statutory deductions.

· Handle social insurance, health insurance, and other mandatory contributions and reporting.

· Support annual salary reviews and bonus calculations.

External Agency Liaison:

· Act as the main contact for government bodies, labor authorities, and other external agencies.

· Prepare and submit required documents, licenses, and periodic reports in compliance with local regulations.

· Stay updated on changes in labor, tax, and administrative regulations.

Facility & Infrastructure Management:

· Oversee the maintenance and repair of factory facilities, equipment, utilities, and office infrastructure.

· Coordinate with vendors and service providers for facility upgrades, cleaning, security, and maintenance.

· Manage office supplies, equipment, and inventory to ensure smooth daily operations.

EHS (Environment, Health & Safety) Support:

· Assist in implementing and monitoring EHS policies, procedures, and training.

· Maintain safety records, incident reports, and ensure compliance with local and corporate EHS standards.

· Support safety inspections, risk assessments, and emergency drills.

General Administration:

· Organize company events, meetings, and employee activities.

· Handle travel arrangements, hotel bookings, and transportation for staff and visitors.

· Manage administrative documentation, filing systems, and internal communications.

Qualifications & Experience

· Bachelor's degree or Higher Diploma in Human Resources, Business Administration, or related field.

· 3‑5 years of experience in HR and administration, preferably in a manufacturing or regulated industry.

· Solid knowledge of Vietnamese labor law, payroll calculation, social insurance, and tax regulations.

· Experience in facility management, vendor coordination, and EHS-related tasks.

· Proficient in MS Office (Excel, Word) and HR software/payroll systems.

· Strong organizational, communication, and problem-solving skills.

· Ability to work independently, handle multiple tasks, and meet deadlines.

· Good command of English and Vietnamese (both written and spoken).
