Finance & Operation Manager (Relocation to Dubai)
Role Summary
The Finance & Operations Manager will be the key person responsible for setting up and managing all financial and operational processes for the newly formed Virvance entity.
This role is both strategic and hands-on, managing day-to-day accounting, payroll, compliance, vendor payments, and office operations while coordinating closely with the Group Company's Finance and Operations teams.
Key Responsibilities
The role is divided into four core functional areas: Establishing finance Function and Daily Operation , Accounting and Financial Reporting, Leadership & collaboration & Payroll and statutory compliance.
Finance Setup & Daily Operations (Approx. 70% of Time)
Establish the finance function in alignment with Group standards.
Establish and implement finance policies, procedures, and internal control systems.
Set up the Virvance's accounting system, chart of accounts, internal approval workflows and reporting frameworks.
Open and maintain company bank accounts; manage cash flow and funding transfers from Group HQ.
Develop workflows for billing, payment, payroll, and expense management.
Establish vendor onboarding and payment procedures.
Handle daily accounting transactions such as supplier invoices, expense claims, petty cash, and intercompany transfers.
Prepare and maintain daily and weekly cash flow reports for management visibility.
Ensure timely payment processing and proper documentation for all expenses.
Accounting and Financial Reporting (Approx. 20% of Time)
Daily & Monthly Bookkeeping
Record all daily journal entries, including vendor bills, employee reimbursements, intercompany transactions, and asset capitalization.
Manage accounts payable (AP), accounts receivable (AR), general ledger (GL), and
bank reconciliation.
Prepare supporting schedules for prepaid expenses, accruals, and deposits.
Maintain updated fixed asset register and calculate monthly depreciation.
Month-End & Year-End Closing
Execute month-end closing activities, ensuring all entries are posted accurately and on schedule.
Prepare monthly financial reports Profit & Loss, Balance Sheet, and Cash Flow
Consolidate intercompany transactions and ensure proper elimination entries where applicable.
Budgeting & Forecasting
Develop and maintain key financial dashboards (e.g., expense breakdowns, vendor exposure, burn rate).
Support senior management with ad-hoc financial analysis for strategic decisions (e.g., expansion plans, pricing, cost modeling).
Present monthly financial highlights and operational metrics to the Head of Operations and Group Finance.
Recommend improvements to optimize cash flow, reduce operational costs, and enhance efficiency.
Compliance & Audit:
Ensure strict compliance with all local, state, and federal financial regulations and tax requirements.
Coordinate and manage external audits and reviews
Leadership and Collaboration (Approx. 30% of Time)
Leadership & Collaboration
Collaborate with other departments (Group CB, Group Finance) to ensure financial alignment with business operations.
Provide financial guidance and reports to senior management for strategic decisions.
Liaise with external auditors, tax advisors, and other stakeholders to ensure effective communication and compliance.
Support change management and process improvement initiatives as the company transitions toward independent financial operations.
Change management
Lead the transition from the group's finance system to a fully independent financial function, ensuring smooth process migration and minimal disruption to business operation
Identify gaps in existing workflows and drive process optimization, automation, and efficiency initiatives within the finance function.
Governance & Ethics
Promote compliance with internal policies, ethical standards, and sound financial practices across all departments.
Promote ethical financial practices by setting high professional standards for accuracy, confidentiality, and integrity
Ensure adherence to statutory regulations, accounting standards, and corporate governance principles, maintaining full readiness for audits or inspections.
Payroll and Statutory Compliance (Future Scope)
Payroll Management
Set up and manage the Virvance's payroll process.
Ensure timely and accurate salary disbursement, including statutory deductions and compliance.
Work closely with HR on employee data, benefits, and tax submissions
Qualifications
Education & Experience
Bachelor's degree in Accounting, Finance, Business Administration, or a related field is required.
10+ years of progressive experience in finance, accounting, or business operations, with direct experience managing full-cycle payroll.
Experience in a small to mid-sized company environment handling multiple responsibilities is highly preferred.
Skills & Competencies
Technical Proficiency: Expert knowledge of accounting principles (GAAP/IFRS) and financial reporting.
Software Skills: Advanced proficiency with Excel and accounting software. Experience with payroll systems.
Detail-Oriented: Exceptional attention to detail and accuracy, particularly in payroll and financial reporting.
Problem-Solving: Proven ability to manage competing priorities, meet deadlines, and troubleshoot complex financial and operational issues independently.
Communication: Excellent verbal and written communication skills to interact effectively with employees, vendors, and executive leadership.
Integrity: High level of professionalism and discretion in handling sensitive financial and personnel information.
