What this job involves:
This position serves as the main point of contact for all aspects of a facility while managing day-to-day facilities operations by maintaining a world-class working environment to create a wonderful workplace experience for employees. You will manage general employee requests, reception and mailroom while inspecting buildings to confirm safety standards, identifying, planning, and reporting major areas needs for repair, and conducting regular facilities inspections and audits. This role contributes to JLL's business objectives by ensuring office facilities and office space are well-maintained, ensuring all site documentation is updated, assisting in special events within the office, and serving as vendor POC on soft services for daily operations while coordinating with Facilities Manager, fellow coordinators, housekeeping personnel, landlord personnel, and vendors to ensure all tasks run according to plan and deliver exceptional quality of service as reflected by client feedback.
What your day-to-day will look like:
- Manage day-to-day facilities operations by maintaining world-class working environment while managing general employee requests, reception, and mailroom
- Inspect buildings to confirm safety standards while identifying, planning, and reporting major areas needs for repair and conducting regular facilities inspections and audits
- Ensure office facilities and office space are well-maintained while ensuring all site documentation is updated and assisting in special events
- Coordinate with Facilities Manager, fellow coordinators, housekeeping personnel, landlord personnel, and vendors to ensure tasks run according to plan
- Conduct daily walkthroughs to ensure clean and organized office while responding to all work orders in timely manner ensuring KPI compliance
- Identify opportunities for improved operation and service excellence while conducting site inspections and assessments to ensure building procedures are maintained
- Provide information and direction to vendors, facilities staff, and service providers while assisting in procurement of vendors and services for hard services.
Required Qualifications:
- Experience managing day-to-day facilities operations with ability to maintain world-class working environment for employees
- Strong coordination skills with ability to work with multiple stakeholders including Facilities Manager, coordinators, housekeeping, landlord personnel, and vendors
- Understanding of building safety standards and inspection procedures with ability to identify and report repair needs
- Skills in responding to work orders in timely manner while ensuring KPI compliance and excellent customer service
- Ability to conduct daily walkthroughs and regular facilities inspections and audits for clean and organized office maintenance
- Understanding of vendor management as POC on soft services for daily operations
- Capability to assist with critical out-of-hours issues and participate in emergency situation responses.
Preferred Qualifications:
- Experience in facilities coordination or management roles with knowledge of office space maintenance and building operations
- Background in equipment maintenance, landlord relations, and building access pass management
- Understanding of site documentation updates and maintenance of accurate records for official documentation
- Knowledge of event coordination and support for meetings and conference facilities
- Experience with procurement of vendors and services for hard services requirements
- Understanding of client contract requirements and Key Performance Indicators with ability to meet or exceed targets
- Knowledge of policies, procedures, and contract scope coordination for site operations delivery.
