The Executive Assistant to the General Manager provides comprehensive administrative and executive support to the General Manager, ensuring the smooth and efficient operation of the Executive Office. This role acts as a trusted partner, coordinating executive communications, managing priorities, facilitating meetings, and supporting key business initiatives while maintaining the highest standards of professionalism and confidentiality.

As part of a large and dynamic resort operation, the Executive Assistant plays an integral role in enabling effective communication across departments, supporting pre-opening and operational activities, and ensuring seamless coordination with ownership, corporate offices, business partners, and other stakeholders.

Key Responsibilities

Executive Support

  • Manage the General Manager's calendar, appointments, meetings and travel arrangements.
  • Prioritize meeting requests and coordinate daily schedules.
  • Prepare correspondence, presentations, reports and briefing documents.
  • Screen telephone calls, emails and visitors, ensuring timely and professional responses.
  • Maintain confidential records and sensitive business information.

Executive Office Administration

  • Coordinate Executive Committee meetings, leadership meetings and departmental briefings.
  • Prepare meeting agendas, minutes and action trackers.
  • Monitor follow-up actions and ensure timely completion of assigned tasks.
  • Maintain filing systems and executive documentation.

Communication & Coordination

  • Serve as the communication link between the General Manager and department leaders.
  • Coordinate internal and external meetings, owner visits and corporate reviews.
  • Assist in drafting professional correspondence on behalf of the General Manager.
  • Support communication with corporate offices and key stakeholders.

Project & Business Support

  • Assist with preparation of monthly business reviews, budgets and operational reports.
  • Support planning and coordination of hotel initiatives, projects and special events.
  • Track key deliverables and project milestones.
  • Coordinate logistics for executive visits, VIP guests and official functions.

Pre-opening Support

  • Support the General Manager throughout the hotel pre-opening phase.
  • Coordinate recruitment events, leadership meetings and project reviews.
  • Maintain pre-opening action plans and documentation.
  • Assist in organizing opening ceremonies and stakeholder visits.

Qualifications

  • Bachelor's degree in Business Administration, Hospitality Management or a related discipline preferred.
  • Minimum 3 years experience as an Executive Assistant or Executive Office Coordinator.
  • Previous experience in an international hotel company is highly preferred.
  • Pre-opening hotel experience is an advantage.
