Job Description

POSITION OVERVIEW

The Executive Assistant to the BOD will serve as the strategic partner and primary point of leverage for the Board of Directors. This is a high-impact, demanding role that requires a unique blend of sharp intellect, organizational mastery, and the assertive professional strength necessary to drive execution and interface effectively across all Board members. The ideal candidate will be a proactive problem-solver, highly articulate, and possess the exceptional finesse to represent the BOD while maintaining rigorous standards of productivity and confidentiality.

KEY RESPONSIBILITIES

1. Strategic Execution & Project Oversight (The Push):

  • Act as the Executive's central point of contact for internal project coordination and execution tracking.
  • Proactively Push and follow up with department heads and cross-functional teams to ensure all assigned tasks, initiatives, and strategic goals are progressing on schedule and meeting established deadlines.
  • Support the preparation of materials for the BOD, ensuring all reports, presentations, and meeting logistics are handled with precision and discretion.
  • Monitor, track, and report on the status of key company initiatives, highlighting potential bottlenecks and risks for immediate Executive review.

2. Executive Support & Time Management:

  • Manage a dynamic and complex calendar, prioritizing meetings, appointments, and travel logistics with precision.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Prepare the Executive for meetings by compiling all necessary materials, agendas, and pre-reading documentation, ensuring the Executive is fully briefed.
  • Screen and prioritize incoming correspondence (emails, calls), drafting professional responses on behalf of the Executive when appropriate.

3. Professional Representation & Communication:

  • Serve as a professional and personable gatekeeper, managing communication flow between the Executive and internal/external stakeholders, including key members of the BOD.
  • Maintain a consistently pleasant and approachable demeanor (easy-on-the-eye/presentable, gentle speaking), while possessing the underlying confidence and authority necessary to effectively liaise with senior management.

4. Personal Assistance (As Needed/In Case):

  • Provide support for reasonable personal administrative tasks that intersect with the Executive's professional schedule, on a case-by-case basis (in case).
  • Assist with managing personal appointments, reservations, and errands as required to optimize the Executive's overall schedule and focus.
  • Coordinate private travel arrangements (booking flights, accommodation, transportation) as an extension of professional duties.

REQUIRED QUALIFICATIONS & SKILLS

  • Age Profile: Preferred candidates born in the late 1980s (8X) or early 1990s (9X).
  • Experience: Minimum of 5 years of progressive experience supporting C-Level Executives (BOD) in a demanding environment.
  • Aptitude: Exceptional intelligence (Smart), highly agile, and proactive (anticipatory working style). Must be able to take ownership of tasks and drive them to completion independently.
  • Interpersonal Strength: Must be outwardly personable and refined, yet internally strong and resilient enough to effectively chase and hold individuals accountable (the push factor).
  • Technical Proficiency: Expert level in MS Office Suite (Word, Excel, PowerPoint) and collaboration tools.

PREFERRED (BONUS) QUALIFICATIONS

  • Previous experience in the Education sector (e.g., K-12, Edu-Tech, Higher Education).
  • Experience gained from Studying Abroad or working in a highly international/multicultural corporate setting.
