Job Description

We are looking for Executive Assistant Manager - Melia Ba Vi Mountain Retreat (Hanoi, Vietnam)

Mission:

To provide support to the General Manager in the execution of tasks assigned to him/her and with a focus on the management of the Hotel's operational departments, with the aim of maximizing internal and external customer satisfaction.

What will you have to do

  • Wellness, Spa & Recreation: The EAM will guide the strategy for the YHI Spa and all recreational activities.
  • Oversee the operational and financial performance of the YHI Spa. Ensure all treatments consistently utilize locally sourced, organic ingredients and authentic Vietnamese traditions blended with international standards.
  • Develop and integrate holistic wellness packages to position the resort as a premier wellness destination.
  • Manage outdoor activities and excursions. Ensure all recreational programs align with our sustainability, promoting environmental stewardship and deep connection with the Ba Vi mountain landscape.
  • Conduct regular audits of spa and recreation facilities to ensure impeccable hygiene, safety, and sensory balance (purification, relaxation, and five-senses alignment)

  • Food & Beverage Operations: Define the commercial strategy and monitor the operational success of our F&B department, empowering the F&B Manager to execute the daily operations.
  • Partner with the Director of Sales & Marketing and the GM to position the retreat as the premier destination for high-yield corporate events, executive wellness retreats, and luxury destination weddings.
  • Provide high-level oversight for our daily dining outlets.
  • Analyze monthly F&B performance metrics. Review banquet revenue, cost of sales, and labor optimization reports with the FBM, identifying areas for upselling and cost-efficiency without compromising the guest experience.
  • Guide the Kitchen and F&B leadership teams in developing innovative, high-margin banquet menus and coffee breaks that align with our Balance by Meliã wellness concepts. Conduct high-level audits and review post-event feedback to monitor service quality.

  • General Management & Other Duties
  • Deputize for the GM during absences, assuming full responsibility for property operations, guest relations, and crisis management.
  • Take ownership of specific projects, administrative delegations, and ad-hoc responsibilities assigned by the GM to drive the overall business forward.
  • Foster a high-performance culture among the Executive Committee and middle management. Focus on succession planning, emotional intelligence, and empowering leaders to make autonomous, guest-centric decisions.
  • Assist the GM in preparing the annual operational budget. Monitor P&L statements, identify revenue opportunities, and control operational expenses across all departments.
  • Act as a primary ambassador for our CSR initiatives. Ensure the property maintains and exceeds its global sustainability standards through waste reduction, energy efficiency, and community support.
  • Execute any other reasonable operational or administrative duties requested by the General Manager to support the retreat's strategic goals.

What are we looking for

Languages: Fluent English & Vietnamese in both speaking and writing.

Specific Knowledge: Total knowledge of hotel operations and knowledge of F&B, Wellness position of a retreat.

  • Knowledge of IT tools used in Hotel Management.
  • Total geographic availability.
  • Local experience is required.
  • Leadership, autonomy, strategic vision and solvent social skills.
  • Attention to detail and passion for excellence.
  • Dynamic and warm person, with a host profile and ability to lead the operations front and the guest center.

Experience: 1-2 years of experience as an Executive Assistant Manager or similar
