Position Overview:
Event Assistant is responsible for accurately and efficiently confirming bookings of all suppliers. S/he is also responsible for following the booking procedures and ensuring all information is recorded into the company internal system.
Location: 127 Lo Duc, Hai Ba Trung Ward, Hanoi city
Responsibilities:
- Reserve, reconfirm and support the supplier quotation process for Events group requests.
- Assign multi-lingual guides, transportation/vehicles as required per specific Events group request
- Provide briefing and debriefing to guide together with the Events Team
- Manage guide expenses and guide fee submissions according to timeline
- Research and source merchandise as required forEvents including gifts, printed items, graphic design, displays and banners, entertainers, theme proposals
- Update Events Excel database as and when product details and pricing changes or new products are added including key supplier contract renewals
- Assist in creating and updating Events Powerpoint slides and powerpoint proposals
- Assist with product research
- Assist with creation of relevant event plans and details: obtaining menus; pricing; table plans etc. from suppliers and producing print format event plans, guide signs, name badges as required per Events or group event
- Assist with onsite management of site inspections and groups in-house as required
- Provide a support function to the event coordinators and department manager in all aspects of planning and execution of Events including client responses, event planning, and supplier liaison as required.
Qualifications:
- Bachelor's degree in Tourism or related field.
- Good command over verbal & written English.
- Experience in Travel Company/ Operations or Events related experience is an advantage
- Excellent skills in Microsoft Office & Travel software
- Interest and/or experience in the travel industry
- Understanding of sustainability and responsible tourism is a plus.
