Support the Event Manager in the planning and execution of events, concerts & festivals. Act as one of the key event coordinators to ensure the best possible attendee experience while delivering strong brand impact and financial performance for the Group.
I. KEY RESPONSIBILITIES
1. Event Planning & Coordination — 60%
- Support the Event Manager in event planning and operations.
- Develop event checklists and manage overall event timelines.
- Monitor daily project timelines and progress.
- Ensure all required contracts, permits, and insurance documents are prepared and submitted on time.
- Track overall project progress and follow up on key deliverables.
- Prepare Statements of Work (SOWs) for outsourced manpower/resources required for projects.
- Prepare event rundowns and coordinate pre-event site inspections.
- Perform other duties as assigned.
2. Management of Key Event Workstreams — 10%
- Gather relevant information, develop execution plans, coordinate implementation, and manage assigned personnel to ensure key event workstreams are delivered effectively and on schedule.
3. Communication & Stakeholder Relations — 10%
- Maintain regular communication with clients, artists, and relevant stakeholders to ensure their requirements and expectations are properly addressed.
- Resolve issues arising during both event preparation and on-site execution.
4. Reporting & Evaluation — 10%
- Support the collection of post-event feedback and preparation of event performance reports.
- Recommend improvements for future events based on feedback and practical experience.
5. Other Responsibilities — 10%
- Perform other duties as assigned by the direct manager.
II. JOB REQUIREMENTS
- College or Bachelor's degree; candidates with a background in Event Management, Communications, or related fields are preferred.
- 3–4 years of experience in event and/or concert production.
- Experience in organizing large-scale events is an advantage.
- Good understanding of event and concert production processes.
- Strong time management and planning skills.
- Quick-thinking, adaptable, and responsive.
- Flexible and proactive.
- Creative in developing ideas and solutions.
- Proficient in Microsoft Office applications.
- Proficient in English.
- Ability to perform effectively under high pressure.
- Ability to work long and intensive hours during peak periods leading up to events.
- Good physical health and stamina.
