Job Description

| Summary |

The Event Manager is responsible for supporting the planning, coordination, and execution of marketing and customer engagement activities in compliance with company policies and local regulations.

This role works closely with Marketing, Sales, Compliance, Finance, and external vendors to ensure seamless execution of scientific events, promotional activities, customer engagement programs, and internal meetings. The position also supports budget tracking, vendor management, event documentation, and operational excellence across marketing initiatives.

| Responsibilities |

Event Planning & Execution

  • Coordinate end-to-end execution of physical, virtual, and hybrid events, including scientific meetings, symposiums, speaker programs, advisory boards, product launches, and internal meetings.
  • Ensure timely delivery of event activities according to approved timelines and objectives.
  • Work closely with internal stakeholders and vendors to ensure smooth event execution.
  • Support post-event activities, including attendance reconciliation, documentation, and reporting.

Customer Engagement Support

  • Support Marketing and Field Force teams in executing customer engagement activities aligned with brand and business objectives.
  • Assist in coordinating Healthcare Professional (HCP) engagement activities and event participation.
  • Maintain participant databases and event records.
  • Support customer communication and event invitation processes when required.

Marketing Operations Support

  • Coordinate production and distribution of promotional materials and event-related assets.
  • Support implementation of marketing campaigns and tactical activities.
  • Assist in maintaining marketing calendars, activity trackers, and execution timelines.
  • Collaborate with cross-functional teams to ensure alignment and effective execution of marketing initiatives.

Compliance & Documentation

  • Ensure all event and marketing activities comply with company SOPs, industry codes, and local regulatory requirements.
  • Prepare and maintain complete event documentation, approvals, contracts, attendance records, and supporting documents.
  • Coordinate approval workflows with Marketing, Medical, Compliance, Finance, and other stakeholders.
  • Maintain organized and audit-ready records of all activities.

Vendor Management

  • Source, evaluate, and coordinate with event agencies, hotels, venues, printing suppliers, and other service providers.
  • Prepare vendor briefs and monitor service quality throughout project execution.
  • Track vendor performance and recommend improvements when necessary.
  • Support procurement processes in accordance with company policies.

Budget Tracking & Administration

  • Support preparation and monitoring of event and marketing budgets.
  • Track expenses against approved budgets and provide regular updates.
  • Coordinate purchase requisitions, purchase orders, invoices, and payment processing.
  • Assist with budget reconciliation and financial documentation after each activity.

Reporting & Continuous Improvement

  • Maintain accurate activity trackers and execution reports.
  • Collect and consolidate event feedback from participants and internal stakeholders.
  • Support analysis of event effectiveness and operational performance.
  • Identify opportunities to improve processes, efficiency, and customer experience.

| Qualifications |

  • Bachelor's degree in Business, Marketing, Economics or a related field
  • 2–5 years of experience in event management, marketing operations, commercial operations, or a related role.
  • Experience in the pharmaceutical, healthcare, medical device, or healthcare-related industry is preferred.
  • Experience coordinating events, vendors, and cross-functional projects.

Familiarity with CRM systems, event management platforms
