About the role

The Event Management Lead (Contractor) at Fulbright University Vietnam is responsible for leading the operational planning and execution of major institutional events, including large-scale ceremonies, conferences, and community gatherings.Working closely with the Marketing and Communications team, this role focuses on event operations, logistics, and production management to ensure seamless delivery of events that meet Fulbright's institutional standards and guest experience expectations. The position requires strong project management skills, the ability to coordinate multiple stakeholders, and hands-on leadership during pre-event preparation and on-site execution.

Roles and Responsibilities

The duties and responsibilities of the Event Management Lead (Contractor) are organized across six primary areas:

1. Event Planning and Project Management

  • Develop and manage the overall event plan, including detailed timelines, milestones, and task allocation.
  • Coordinate closely with the MarCom team to translate event concepts into operational plans and execution frameworks.
  • Monitor project progress and proactively identify potential risks or operational issues.
  • Ensure all deliverables are completed on time and aligned with event objectives.

2. Venue and Production Management

  • Lead venue coordination, spatial planning, and production setup.
  • Oversee stage design, audiovisual systems, lighting, signage, and technical requirements.
  • Manage rehearsal schedules, run-of-show planning, and event-day operations.
  • Ensure compliance with safety, venue regulations, and event protocols.

3. Vendor and Agency Management

  • Identify, coordinate, and manage event vendors and production agencies.
  • Oversee vendor deliverables, timelines, and service quality.
  • Facilitate communication between vendors and internal stakeholders to ensure smooth implementation.

4. Stakeholder Coordination

  • Coordinate with internal departments, faculty representatives, and external partners involved in the event.
  • Support alignment between different stakeholders to ensure smooth collaboration and decision-making.
  • Act as the operational focal point for event-related logistics.

5. Pre-Event, Side Events, and On-Site Execution

  • Manage logistics for related activities such as side events, pre-event preparations, rehearsals, and setup days.
  • Provide hands-on leadership during event days, ensuring all operational elements run smoothly.
  • Handle real-time issue resolution and coordinate rapid responses to unexpected situations.

6. Post-Event Evaluation and Reporting

  • Coordinate event recap and documentation.
  • Support post-event surveys and feedback collection.
  • Prepare operational reports and key learnings to inform future events.

Other duties:

Education: Bachelor's degree in Event Management, Marketing, Communications or a related field is required.

Experience:

  • A minimum of 5 years of related experience
  • Experience managing large-scale professional events

Knowledge, Skills and Abilities:

o Fluency in English and Vietnamese.

o Strong project management and event operations skills.

o Solid experience in large-scale event logistics, venue setup, and production coordination.

o Strong vendor and stakeholder management abilities.

o Excellent organizational and problem-solving skills.

o Strong attention to detail and ability to manage complex timelines.

o Ability to work effectively both independently and as part of a team.

o Ability to work under pressure and respond quickly to on-site issues.

o Ability to manage multiple tasks and priorities in a fast-paced environment.

Preferred qualifications:

o Experience managing large-scale events (500+ attendees), such as conferences, corporate events, or graduation ceremonies.

o Experience working with event vendors, venues, and production teams.

o Familiarity with project management or event planning tools.
