KEY RESPONSIBILITIES
1. Production & Supplier Coordination
- Conduct site surveys prior to event/activation execution to assess venue conditions, booth/POSM placement, power supply, customer traffic, and operational requirements.
- Coordinate with internal teams to implement production and installation plans according to the project timeline.
- Receive design files from the Creative team and coordinate with procurement team/vendors for production execution.
- Work closely with the procurement team to collect quotations, and assist in evaluating production proposals for printing materials, POSM, booths, activation items, sound systems, and lighting equipment.
- Monitor the production process to ensure compliance with approved designs, materials, sizes, quality standards, and project timeline.
- Coordinate with vendors on logistics arrangements, including transportation, installation, and dismantling at the event site.
- Inspect and verify production and installation outputs, and support the preparation of payment documentation and related paperwork.
- Prepare logistics checklists and materials required for activation activities.
- Support the consolidation of event photos and post-event reports.
2. Onsite Supervision - PG/PB & Activation Operations
- Main manage and execute events & activation programs, including recruiting and arranging BA or PG/PB staff when needed.
- Assist in briefing and training BA or PG/PB teams on event details, information, and operational guidelines.
- Supervise and coordinate on-site activation activities to ensure smooth execution according to the event plan.
- Monitor staff performance and handle on-site operational issues when necessary.
- Support payment processes.
3. Partnership Coordination & Collaboration
- Support in identifying and approaching potential partners (brands, communities, venues, or strategic partners) for event and activation programs.
- Coordinate with partners to align collaboration objectives, partnership benefits, and deliverables for joint activities.
- Assist in developing and executing co-marketing or cross-brand collaboration activities within event and activation programs.
- Work with internal teams to integrate partner benefits and branding visibility into event plans (social media, booth presence, logo placement, promotional activities, etc.).
- Follow up with partners to ensure timely delivery of agreed materials, assets, or program participation.
- Support the preparation of partnership proposals, collaboration outlines, or benefit exchanges when required.
- Maintain communication with partners to ensure smooth coordination throughout the event or activation program.
- Assist in monitoring and reporting partner deliverables and collaboration outcomes after the program.
REQUIREMENTS
- Bachelor's degree in Marketing, Event Management, Communications, Business Administration, or related fields.
- 1-3 years of experience in Event Management, Activation, Trade Marketing, or Marketing Execution.
- Experience in organizing and executing retail activations, in-store events, or mall activations is a plus.
- Experience working with vendors, agencies, and PG/PB/BA teams during event execution.
- Basic knowledge of marketing materials (standees, banners, visual merchandising materials VM).
- Strong coordination and communication skills when working with cross-functional teams.
- Ability to manage multiple tasks and ensure project timelines are met.
- Proactive, responsible, and committed to work.
- Strong problem-solving mindset with a proactive working attitude.
- English: Conversational level
- Basic in Excel and PowerPoint for preparing proposals, tracking progress, and reporting.
- Willing to support weekend activities when community events or shoots require it.
- Be willing to visit and work on-site when there are events or activation programs.
