Key Responsibilities
- Company Seal Management
- Control and manage the Company Seal to ensure proper usage in accordance with established procedures, corporate governance standards, and legal requirements.
- Verify supporting documents and approvals before applying the Company Seal.
- Maintain accurate records of all seal usage and ensure confidentiality of company documents.
- Administration & Foreign Visitor Support
- Arrange visas for Henkel employees and e-visas for foreign visitors.
- Prepare Approval Letters for foreign visitors.
- Prepare Invitation Letters and supporting documents for foreign visitors.
- Regulatory & Chemical Documentation Management
- Declare and register controlled/special chemicals in the National Chemical Database System in compliance with regulatory requirements.
- Manage and maintain Chemical Control Forms and related documentation.
- Upload Certificates of Analysis (COA) to the MES system for locally sourced raw materials.
- Procurement Support
- Process payments for locally sourced materials and services.
- Submit Purchase Orders (POs) for approval for suppliers without valid Henkel contracts.
- Maintain procurement-related documentation and records.
- Document Control & Record Management
- Ensure all related documents are properly filed, maintained, and archived in compliance with company procedures.
- Support audits and document retrieval activities when required.
- Provide administrative and documentation support to cross-functional teams as assigned.
- Logistics & Warehouse Documentation Support
- Process Goods Receipts (GR) in the SAP system.
- Maintain and archive raw material (RM) receiving and warehouse documents.
- Hand over GR files and related documents to the Logistics team.
Position Summary
Responsible for managing the Company Seal, maintaining compliance-related documentation, supporting administrative and procurement activities, and ensuring accurate control, filing, and retention of company records. Provide document management support for warehouse and logistics operations while ensuring compliance with Henkel and regulatory requirements.
