Customer Service Assistant, Vietnam
This role is responsible for end-to-end order management and sales support for key accounts and OEM customers in Vietnam. Key duties include processing orders in SAP, ensuring timely shipment and invoicing, and performing debt collection. The position requires meticulous management of sales reports and sample orders, alongside forecasting to guarantee on-time delivery. Acting as a vital liaison between sales, production, and finance departments, the role is crucial for maintaining a 99.98% on-time shipment rate and providing exceptional customer service through effective communication and inquiry resolution.
What You'll Do
- Create sales orders, query delivery dates and arrange delivery notes in SAP
- Forecast delivery dates for large projects and coordinate pre-shipment preparation to ensure timely order fulfillment
- Manage the shipment arrangements and maintain a registration summary for all sample orders in Vietnam
- Handle delivery date queries, account reconciliation and debt collection in Vietnam in order to assist the financial deparment in Hong Kong Regional Headquarters
- Serve as the key liaison for cross departmental communication between sales Vietnam, customizing and logistics and accouting teams in Hong Kong
- Provide comprehensive support for the sales team in Vietnam; Handle and coordinate various customer requirements while maintaining excellent communication
- Manage customer inquiries via telephone, fax, email etc. directing to the approprate colleagues for follow-up
- Provide general support for departmental activities in Vietnam office as required
Who You Are
- Tertiary education or above
- Minimum of 1 year of relevant working experiene; experience in sales support is an advantage
- Proficiency in MS Office
- Experience with SAP is highly preferred
- Strong English listening and written comprehension skills
- A team player and results oriented
- Strong ability to work effectively under pressure
- Excellent execution and communication skills
