Responsibilities
- Interpret and apply USA & Canada service contract filings accurately to support pricing and trade lane decisions.
- Prepare competitive rate quotations for internal and external customers based on approved tariffs and contract structures.
- Manage and optimize space allocation to meet operational commitments and customer expectations.
- Build and maintain strong customer relationships, ensuring a clear understanding of requirements and proactive communication with shippers, controlling parties, carriers, and internal teams.
- Handle end-to-end booking activities, including receiving booking details, creating quick bookings in CW1, coordinating with shippers or controlling parties, and securing carrier/co-loader confirmations.
- Send timely booking confirmations to shippers and ensure smooth export arrangements.
- Monitor shipment progress closely, follow up with shippers to ensure planned export execution, and escalate deviations to controlling parties.
- Conduct Track & Trace via carrier platforms; verify schedule changes and request space protection when required.
- Communicate all schedule changes promptly and update CW1 to ensure accurate and timely data.
- Prepare and submit rolling reports to the Person-in-Charge (PIC) as needed.
- Upload booking requests, confirmations, and related documents in CW1; create organizations and update client tariffs as needed.
- Ensure accurate and timely FMC filing for US shipments.
- Handover completed files to the Documentation Team for issuance of shipping documents.
- Coordinate cross-functionally for EXW, DDU/DAP, and DDP shipments, ensuring the timely provision of documents for cargo pick-up, customs clearance, and closing.
- Work closely with teammates and other departments to ensure seamless operational flow and resolve unexpected issues promptly.
- Perform additional duties as assigned by the Supervisor or Manager.
Requirements
- Minimum 2-3 years of experience in freight forwarding, customer service, pricing, or trade lane management.
- Strong understanding of US trade lane operations, including carrier filings, FMC requirements, and contract structures.
- Experience handling pricing, tariffs, and rate quotations for international shipments.
- Familiarity with carrier platforms, booking portals, and Track & Trace tools.
- Proficiency in logistics systems; experience with CW1 is an added advantage.
- Excellent communication skills with the ability to interact effectively with shippers, carriers, and internal stakeholders.
- Strong attention to detail and accuracy in documentation, filings, and system updates.
- Ability to manage multiple shipments, deadlines, and unexpected operational issues.
- Proactive, customer-oriented mindset with strong problemsolving capabilities.
- Able to work independently as well as collaboratively in a fast-paced team environment.
- Good command of English (written & verbal); additional languages are a plus.
