Job Description

OVERALL POSITION:

Delivers streamlined administrative and operational support to the sales team by maintaining accurate sales data and forecasts, preparing reports, and managing customer and prospect information. It oversees key sales documentation, coordinates internal processes and events, supports supply chain tracking, calculates sales incentives, and handles order processing and travel arrangements. The position also assists with bidding activities and completes additional tasks to ensure efficient and effective sales operations.

RESPONSIBILITIES:

  • Update weekly sales figures, sales performance, and monthly forecast reports.
  • Prepare and present reports to internal stakeholders.
  • Maintain an accurate and uptodate database of customer and prospect information.
  • Relay customer feedback directly to Customer Service.
  • Track and follow required documentation between MH and customers, including contracts, quotations, purchase orders, debts, rebate annexes, and delivery notes.
  • Prepare internal documents such as proposals, order request forms, delivery notes, promotion tracking forms, seminar and groupcustomer materials, vendor code creation/activation, and sample requests for testing.
  • Coordinate meetings, seminars, and related activities.
  • Collaborate with the supply chain team to monitor goods status.
  • Calculate sales incentives on a monthly and quarterly basis.
  • Receive and process purchase orders, deliveries, and payments.
  • Manage hotel reservations and verify airticket bookings for Business Unit colleagues.
  • Follow up on bidding processes when applicable.
  • Perform adhoc tasks as assigned.
Desired Skills and Experience

- An associate's or bachelor's degree in business administration, business management, or a related field is preferred.
- English proficiency is required.
- Demonstrated experience in sales support administration, including familiarity with sales contracts and agreements.
- Working knowledge of budget management and tracking sales commissions.
- Experience with SAP is an advantage.
- Proven ability to collaborate effectively with crossfunctional departments.
- Ability to manage multiple projects simultaneously and prioritize tasks in line with business unit and corporate objectives.
- Excellent written and verbal communication skills, strong customer service orientation, and the ability to present analytical methods, results, conclusions, and recommendations convincingly.
