Reports to: National Contracts Manager & Operations Manager
Location: Sai Gon Ward, Ho Chi Minh City
RESPONSIBILITIES
Contract & Project Administration
- Draft, review, and administer subcontract agreements and purchase packages.
- Monitor contract deliverables, milestones, claims and retentions.
- Prepare, assess, and issue variations and contractual correspondence.
- Support project teams by maintaining project registers, documentation, and commercial records.
Financial & Cost Control Support
- Assist with monthly project financial reports, including cost-to-complete updates.
- Work with Project Managers and Finance Team to track budgets, commitments, accruals, and spend.
- Prepare cashflow projections and progress claim summaries.
- Analyse deviations between budgets, forecasts, and actuals, highlighting risks or required actions.
- Support final account preparation and project financial close-out.
Stakeholder & Supplier Coordination
- Assist with onboarding subcontractors and suppliers, including compliance checks and system entries.
- Coordinate with external parties such as consultants, fabricators, subcontractors, and service providers.
- Support the review and processing of supplier and subcontractor payment claims.
- Help resolve contract-related queries and contribute to dispute resolution processes.
Compliance & Documentation
- Ensure contractual documents meet required legal, quality, and safety expectations.
- Maintain contract registers, file structures, and document control processes.
- Promote consistent use of templates, naming conventions, and project documentation standards.
REQUIREMENTS
- Qualifications in Construction Management, Finance, Legal or a related field.
- 2-3 years of experience in contract administration, project coordination, or commercial support (construction or manufacturing preferred).
- Strong analytical and financial literacy with an interest in cost control and commercial reporting.
- High level of English proficiency, both written and verbal.
- Confident in stakeholder communication across diverse groups and cultures.
- Strong organizational skills with the ability to track multiple projects concurrently.
- Proficient with Microsoft Office suite and comfortable learning new project management and accounting systems.
- Detail-driven mindset with the ability to interpret information carefully and question gaps or inconsistencies.
- Ability to work independently, meet deadlines, and maintain accuracy under pressure.
