Position: Communications & Project Manager
Start date: As soon as possible, for a period of 6 months
Languages required: Vietnamese and business-level English
Location: Ho Chi Minh City, District 1, Vietnam
The Comms & Project Manager will manage, coordinate and execute program activities, including: marketing, communication, implementation partner management & outreach, participant outreach & engagement and event support. The role is part-time and requires a hands-on project manager who can coordinate multiple stakeholders, manage timelines and tasks, support outreach campaigns, maintain accurate program data, and contribute to the successful delivery of program activities.
Key responsibilities:
Program Coordination and Project Management
- Plan, manage and coordinate program activities;
- Manage and update agenda & task list for weekly team meetings
- Develop and maintain project tasks overview, timelines, activity plans, event schedules, and task trackers.
- Prepare updates, meeting notes, action lists, and progress summaries when required.
- Coordinate with internal team, external partners, mentors, training & outreach partners, speakers, SMEs, and service providers.
- Monitor progress against agreed deliverables and flag risks, delays, or bottlenecks in a timely manner.
- Support logistics for workshops, events, mentor sessions, community activities, and other program-related meetings.
- Track hours and activities through timesheets, in line with the agreed working arrangement.
Marketing, Communication and Outreach
- Coordinate with the program community manager and align communication & community activities with the overall program calendar.
- Coordinate & support with the execution of the Communication Plan in line with the program objectives and timeline.
- Support in creating content & coordinating marketing and communication activities across LinkedIn, Zalo, Facebook, YouTube, website, and other relevant channels.
- Create, update, and manage communication materials, including flyers, website content, event announcements, newsletters, and promotional content.
- Coordinate content planning with the Community Manager and other relevant team members.
- Monitor campaign performance and engagement data, and propose improvements where needed - based on input from Community Manager
- Support visibility campaigns in coordination with the project assistant, community manager and external partners.
SME Recruitment, Engagement and Database Management
- Support SME recruitment campaigns and onboarding activities.
- Coordinate outreach through business associations, BA members, channel partners, and other relevant networks.
- Coordinate with potential outreach partners for SME mobilization.
- Maintain the R2E SME contact and database system, ensuring information is accurate, complete, and up to date - with support from project assistant
- Track SME participation, attendance, engagement levels, and follow-up actions.
- Provide SME data, participation statistics, and engagement insights when required.
- Support communication with (potential) SMEs
Monitoring, Evaluation and Learning
- Support monitoring and evaluation activities by collecting relevant data, feedback, and participation records.
- Contribute insights based on campaign performance, SME engagement, feedback, and community interactions.
- Participate in reflection and learning sessions with the project team.
- Suggest improvements to outreach, engagement, event delivery, communication, and community-building activities.
Required Experience
- Minimum 3 years of relevant project management, program coordination, marketing, communication, or Vietnamese SME support experience.
- Experience managing multi-stakeholder projects, preferably involving SMEs, business support programs, trade, export, entrepreneurship, or development-related initiatives.
- Proven ability to coordinate events, campaigns, timelines, partners, and operational details.
- Experience with marketing and communication planning and content creation, including social media, newsletters, websites, and promotional materials.
- Experience maintaining databases, tracking participation, and reporting basic program data.
Language Requirements
- Fluent Vietnamese, written and spoken.
- Business-level English, written and spoken.
- Able to draft professional communication materials, emails, updates, and reports in English.

- Experience with CRM, database, project management tools, and content creation skills using tools such as Canva, Mailchimp, WordPress, or similar platforms.
