What You'll Do

  • Learn the firm's operations, client base, service model, advisory team workflows, and Certainty App platform
  • Manage client communications, administrative queries, and workflow follow-ups via email
  • Review internal system outputs and prepare personalised client emails to support client satisfaction
  • Coordinate client review workflows, including tracking, quality assurance, document preparation, and timely delivery
  • Maintain accurate records and documentation across ZOHO CRM, Dropbox, Microsoft Office, and other business tools
  • Support client reporting, engagement documentation, and event coordination as required
  • Contribute to workflow process improvements, templates, and documentation standards
  • Chair workflow meetings as required and support the coordination of a growing Vietnam-based offshore team

Key Criteria


  • Experience in executive support, client services, business support, or operations coordination
  • Background in financial services, wealth management, financial planning, insurance, banking, or professional services is highly preferred
  • Strong written and verbal English communication skills, with the ability to write clear and professional client emails
  • Highly organised, detail-oriented, and able to manage competing priorities and deadlines
  • Confident using CRM systems, Microsoft Office, Outlook, and cloud-based file management tools
  • Experience coordinating small teams, supporting onboarding, or improving workflows is highly regarded

Work setup


  • Ho Chi Minh City (Ree Tower, Xom Chieu Ward): 7am - 4pm VNT with 3 days in the office per week.
