Job Summary:
We are seeking a motivated and detail-oriented individual to support the Chapter Manager of YPO Vietnam & YPO Vietnam Gold. This role involves assisting with daily operations and providing hands-on support to the Chapter Manager, primarily during chapter events, but also across other functions as needed. With flexible working hours and a combination of remote and in-person responsibilities, this position is ideal for someone eager to contribute to a dynamic and prestigious leadership organization. Key Responsibilities
Event Development & Management
- Assist in planning, coordinating, and executing local chapter events (e.g., business workshops, social gatherings, domestic and international retreats).
- Manage relationships with vendors, including but not limited to event planners, tour operators, production teams, and venue providers.
- Oversee logistical arrangements such as venue site visits, quotation tracking, setup coordination, attendee management, and material preparation.
- Provide on-site support during events (approx. 23 per month, mostly in HCMC).
Administrative & Finance Tasks
- Support scheduling, internal communications, and documentation.
- Maintain records, process payments, and prepare administrative or financial reports.
- Take meeting minutes and manage action follow-ups.
Membership Assistance
- Support ad hoc member requests, including introductions, research, and communication.
- Track and update membership data in relevant systems.
- Act as a liaison to YPO Global and the Southeast Asia Regional Team.
Skills and Competencies
- Strong organizational, administrative, and project coordination skills.
- Experience in event planning is an advantage.
- Detail-oriented, proactive, and adaptable to changing priorities.
- Strong communication skills in both English and Vietnamese.
- Ability to work independently and collaboratively in a fast-paced environment.
Experience & Background
- Minimum of 1 year in executive support, event/project management, or association operations.
- University degree required; preferred majors include business, communications, or project management.
- Experience supporting senior leadership or board-level stakeholders is a plus.
- Familiarity with nonprofit or member-led organizations is an advantage.
Working Conditions & Benefits
- Must be available to work flexible hours, including some evenings and weekends.
- Expected to work extended hours on event days.
- Must be available for domestic and international travel as required by chapter events or training.
