A. AREAS OF RESPONSIBILITIES AND RELATED ACTIVITIES
1. Job Summary
We are seeking a Payroll Specialist to join our dynamic team. In this role, you will manage and execute accurate, timely, and compliant payroll operations across three entities (1 retail and 2 wholesale including production) with a total headcount of approximately 260–300 employees.
This role ensures payroll accuracy, statutory compliance, and continuous process improvement while partnering closely with HR and Finance. Strong English communication skills are required to collaborate with stakeholders across entities and regional teams.
2. Key Responsibilities
a. Payroll Operations
- Manage end-to-end payroll processing for approximately 300 employees across 3 entities
- Ensure accurate calculation of salaries, overtime, incentives, allowances, deductions, and final settlements
- Review and validate payroll inputs including attendance, leave, new hires, terminations, and adjustments
- Ensure payroll is processed accurately and on time according to the payroll calendar
b. Compliance & Statutory
- Ensure full compliance with Vietnamese labour law, Personal Income Tax (PIT), and social/health/unemployment insurance regulations
- Prepare and submit all statutory filings and reports on time
- Coordinate with tax authorities, insurance agencies, and auditors when required
c. Reporting & Reconciliation
- Prepare monthly payroll reports, payroll cost analysis, and variance reports
- Reconcile payroll data with accounting/finance records
- Support budgeting, forecasting, and labour bridge reports related to payroll expenses
d. Process Improvement
- Review and improve payroll processes, controls, and systems
- Maintain proper documentation of payroll procedures and SOPs
- Participate in HRIS/payroll system implementation or enhancement projects
e. Stakeholder Management
- Act as the main contact point for payroll-related queries, including coordination with shared service teams when processing salary payments
- Collaborate closely with HR, Finance, and Department Heads across all entities
- Provide guidance to employees on payroll, tax, and benefits matters
f. Key Performance Indicators (KPIs)
- Payroll accuracy (target: 100%)
- On-time payroll processing
- Compliance with statutory deadlines
- Employee satisfaction on payroll services
- Process improvement initiatives delivered
g. Working Relationships
- Internal: HR, Finance, Department Heads across entities, Shared Service teams
- External: Tax authorities, social insurance agencies, auditors, vendors
B. TECHNICAL SKILLS – IDEAL CANDIDATE PROFILE
1. Education & Experience
- Bachelor's degree in Human Resources or related field
- 3–5 years of payroll experience, preferably in a multi-entity and international environment
- Experience handling payroll for 200+ employees is highly preferred
2. Skills & Competencies
- Strong knowledge of Vietnamese labour law, PIT, and insurance regulations
- High level of accuracy and attention to detail
- Strong analytical and problem-solving skills
- Good communication and stakeholder management skills
- Ability to handle confidential information with integrity
3. Technical Skills
- Experience with SAP
- Advanced Excel skills (pivot tables, formulas, data analysis)
4. Language
- Good command of English (both written and spoken)
