1.Sourcing
- Provide necessary input and data to the Project Team for budgeting purposes.
- Utilize various sourcing channels to identify potential suppliers, expand the supplier/product pool, and avoid dependency on exclusive suppliers.
- Propose and select new suppliers and products that meet requirements from R&D and Operations, while ensuring compliance with company policies and Vietnamese regulations.
- Visit suppliers factories and showrooms for evaluation.
- Attend domestic and international exhibitions related to the entertainment and playground industry.
- Monitor and follow required procedures from the Ministry of Culture, Sports and Tourism regarding arcade game imports.
- Work with service agencies, forwarders, customs brokers, and government authorities regarding regulations required for operations.
2. Offering & Negotiation
- Define and understand requirements for equipment, toys, and tools and seek the most suitable and cost-effective solutions while ensuring quality, payment terms, warranty, and delivery requirements.
- Take responsibility for ordering and confirming delivery and receiving information, ensuring agreed timelines, quantities, and budgets are followed.
- Ensure a transparent procurement process through the Purchasing Assessment Committee, if applicable, while meeting required timelines.
- Create healthy competition among suppliers to secure the best solutions and most competitive offers.
3. Order Follow-up
- Monitor the entire process from receiving purchasing requests through delivery; coordinate with suppliers for installation and ensure quality and safety until final handover to end users.
- Anticipate, resolve, and escalate issues arising during order processing.
- Ensure payment and claim processes are completed within agreed timelines, with complete documentation and post-project evaluation.
- Closely follow up on each project and document key learnings and cost-saving opportunities for future projects.
4. Coordination
- Act as the main point of contact with suppliers for store purchasing requirements and delivery coordination.
- Cooperate with relevant stakeholders to ensure clear processes, aligned objectives, effective communication, and timely updates on changes or proposals.
- Work collaboratively with the team to achieve common goals.
- Coordinate between suppliers and relevant end users to achieve the best solutions for all parties involved.
- Manage and report issues or problems to the Manager/Supervisor, together with proposed solutions.
5. Team Support
- Actively contribute to the evaluation, support, and training of colleagues.
- Provide guidance and training to store teams regarding safety standards, equipment specifications, installation, maintenance, and supplier instructions.
- Oversee the installation, maintenance, and assembly of equipment and ensure compliance with brand risk requirements and supplier guidelines.
- Support the team in sourcing and quotation activities.
- Perform other duties according to job requirements and assignments from supervisors.
REQUIRED BACKGROUND & ATTITUDE
Education
- Bachelor's degree or above.
Experience
- At least 3 years of experience in purchasing equipment for playgrounds, both locally and internationally.
- Knowledge of mechanical and electrical engineering.
Attitude
- Rigorous, honest, dedicated, hardworking, careful, and a strong team player.
Language
- Proficiency in English is a must.
Computer Skills
- Good computer skills, including Microsoft Office, Outlook, etc.
