Job responsibilities:
- Manage daily inbound/outbound domestic and international sample shipment
- Collaborate with travel and operations vendors, focusing on performance monitoring, coordination, and managing invoices.
- Assist office management in maintaining safety, cleanliness, and service standards for Hallmark premises.
- Address staff's enquiries on office facilities and services (such as office machinery, door access system, co. transportation and travel services, etc)
- Support office layout modifications and renovation projects.
- Support on company's vendor database management
- Handle monthly billing for all operating vendors and maintain full set of documentation.
- Provide administrative support to the Asia Leadership Team (eg: calendar mgmt., expense report preparation)
- Coordinate company-wide events, meetings, and emergency preparedness drills
- Other ad hoc assignments
Requirements:
- Tertiary educated with at least 5 years of working experience in performing administrative role is essential.
- Experience in Customs Clearance and Declaration procedures is preferrable.
- Candidates with working experience in multinational companies is a definite advantage.
- Proficiency in MS Office (Word, Excel, Powerpoint and Outlook)
- Excellent communication skills and proficiency in English
- Customer oriented, attention to details with positive mindset
- Possess can-do attitude and be a good team player
