Job Description

Job Summary:

The Business Operations Specialist supports workforce planning, resource tracking, and operational processes by managing headcount data, preparing reports, coordinating with multiple stakeholders, and improving resourcing workflows. The role ensures accurate forecasting, smooth hiring coordination, and efficient resource allocation across the organization.

Job Responsibilities:

Resource Management:

  • Extract and prepare weekly HR reports.
  • Develop and maintain quarterly and yearly Workforce Planning (WFP).
  • Perform data extraction and analysis from multiple sources to manage headcount movements.
  • Update employee records regarding assignments and availability.
  • Maintain resource dashboards on a monthly basis.
  • Collaborate with Talent Acquisition for permanent hiring needs.
  • Coordinate with AGS for agency contractor (AC) hiring.
  • Support PMs with AC onboarding, including credentials and hardware requests.
  • Initiate and maintain data in FG for agency contractor hiring.
  • Coordinate international assignments with relevant parties.
  • Drive process enhancements through design, simplification, automation, and data modeling.
  • Act as the main point of contact for communicating new hiring processes from management.
  • Handle ad hoc requests from L3, Global Ops, direct manager, and country leads.
  • Work with Finance to provide monthly actual headcount, forecasted headcount, cost center realignment, and other reporting needs.
  • Address and resolve issues related to resource management.

Resourcing Tools:

  • Utilize iWFM tools for sourcing purposes (e.g., PPM, WMA, FG).
  • Create demands and positions in PPM to initiate resource requests in WMA2.
  • Maintain accurate data in PPM.
  • Liaise with Resource Brokers (RB) for requisition creation in WMA2.
  • Consolidate requests from country leads for bi-weekly L2 Review submissions.
  • Attend weekly RRB meetings to justify submitted requests.
  • Provide solutions and advice on tool and process-related issues.
  • Update and maintain requisition trackers.
  • Track usage of approved tokens and update weekly ups/downs.
  • Perform audits on delivery managers inputs and validate anomalies.

Job Requirements:

  • Bachelor's degree in Business, HR, IT, or related fields
  • 12 years of experience in workforce planning, resource management, PMO, HR operations, or business operations (preferred)
  • Strong analytical and problemsolving skills
  • Experience with Data Analytics or Business Intelligence (Excel required; Python/Power BI is a plus)
  • Ability to apply AI models to support business analysis (preferred)
  • Strong English communication skills
  • High attention to detail, accuracy, and data integrity
  • Good understanding of HR processes and basic logistics
  • Ability to manage multiple tasks and work with crossfunctional teams
  • Experience with resource management tools is an advantage
  • Processoriented mindset with willingness to design and improve workflows
