1. Position Overview
The Business Development Assistant supports the BD Manager in managing, coordinating, and monitoring the day-to-day operations of both the Sales and Marketing teams. The role ensures that departmental plans, customer-related activities, contracts, documentation, and cross-functional tasks are executed accurately and on schedule.
2. Key Responsibilities
· Support the BD Manager in developing, implementing, and monitoring departmental plans, priorities, and key initiatives.
· Consolidate work plans, progress updates, KPIs, and performance results of the Sales and Marketing teams; identify delays, gaps, or risks requiring management attention.
· Coordinate assignments and follow up with team members and relevant departments to ensure agreed actions are completed on time.
· Prepare periodic reports and working dashboards covering revenue, sales pipeline, prospective customers, project status, marketing activities, campaign performance, and budget utilization.
· Maintain and regularly update customer, sales opportunity, project, and departmental performance data using Excel, Google Sheets, and internal files.
· Support the preparation of proposals, quotations, company profiles, presentations, tender documents, and other commercial materials.
· Receive and consolidate customer requirements; coordinate with internal teams to develop solutions, costings, and timely responses.
· Communicate and coordinate with customers throughout the process from initial inquiry, proposal and negotiation to contract signing and service implementation.
· Draft, review, organize, and monitor contracts, appendices, quotations, minutes, acceptance records, liquidation documents, and other customer-related documentation.
· Track contract validity, renewal timelines, reconciliation, invoicing, payment status, and outstanding receivables; promptly flag pending or overdue items.
· Coordinate with Operations, Recruitment, Finance, Human Resources, and other relevant departments to address customer requests and project issues.
· Support the standardization and continuous improvement of departmental forms, reporting templates, working procedures, and file-management practices.
· Perform other department-related duties assigned by the BD Manager.
3. Qualifications & Experience
· Bachelor's degree or college diploma in Business Administration, Marketing, Economics, Commerce, or a related field.
· Two to three years of experience in a department assistant, business development support, sales support, marketing support, or similar coordination role.
· Practical knowledge of Sales, Marketing, customer management, and basic commercial processes.
· Experience in managing contracts, quotations, customer documentation, and payment-related follow-up is preferred.
· Good command of English for business purposes, including reading and drafting emails, contracts, quotations, and proposals, as well as communicating with customers.
· Proficiency in Microsoft Excel/Google Sheets, PowerPoint/Google Slides, Word/Google Docs, and common task-management tools.
