Job Overview:

R&R Beauty Aesthetic is hiring a Bilingual Medical Facilitator to join our team. This role combines patient coordination, administrative support, and customer service to ensure a seamless experience for our inpatient and outpatient clients. You will also support marketing initiatives and payroll tasks. This is a mid-level position that requires strong communication and organizational skills, with the ability to manage multiple responsibilities in a patient-centered environment.

Key Responsibilities:

  1. Coordinate the full patient journey schedule medical appointments, surgeries, and follow-ups; arrange travel and hospital logistics; and ensure a smooth patient experience from arrival to aftercare.
  2. Consult and guide patients conduct consultations to understand goals, explain procedures, and connect patients with the right specialist.
  3. Serve as a bilingual liaison provide accurate English-Vietnamese translation and real-time interpretation between our medical team and patient.
  4. Support clinic operations and administration handle patient records, invoicing, databases, and basic payroll tracking to ensure efficient clinic management.
  5. Assist with marketing and content capture and organize pre/post-procedure photos and patient testimonials professionally and confidentially.

Requirements:

Qualifications

  • Minimum Diploma required; Bachelor's degree preferred.
  • 14 years of professional experience in patient coordination or client service, ideally within a medical or healthcare environment.
  • Prior experience in translation, supported by a valid translation certificate, is an advantage

Language & Communication

  • Professional fluency in both English and Vietnamese (written and verbal). English proficiency should be equivalent to IELTS 6.0 or higher.
  • Professional, empathetic demeanor when interacting with patients and staff.
  • Strong organizational and time-management skills.

Work Environment & Expectations

  • Strong comfort level in a medical setting must be comfortable with the presence of blood and needles.
  • Ability and willingness to travel frequently between hospitals, clinics, and hotels in Ho Chi Minh City.
  • Able to work 6 days per week (Monday to Saturday, 9:30 AM 6:30 PM).
  • Flexibility to work outside regular hours, including Sundays and public holidays as necessary, depending on patients medical and travel schedules.

Technical & Administrative Skills

  • Comfortable with general administrative tasks.
  • Good photography skills for patient documentation purposes.
  • Proficient in using MS office and online communication tools.
