The Executive Assistant (EA) to the CEO is responsible for providing high-level executive administrative support to CEO to ensure efficient and smooth operations for CEO's office.
The job holder is a solution-driven, digital-first Executive Assistant who anticipates needs, simplifies complexity, and enables CEO to focus on what matter most. The EA acts as a trusted gatekeeper and orchestrator for schedules, communications, meetings, and followups ensures the CEO's priorities are executed and helps the CEO maintain strong engagement with internal leaders, Group Office counterparts, and external stakeholders.
THE JOB:
Calendar, Meetings & Time Management
- Own and proactively manage the CEO's calendar: schedule meetings, prioritize requests, resolve conflicts, and ensure preparation materials are available in advance.
- Coordinate EXCO and leadership forums (such as prereads, logistics, )
Communications & Correspondence
- Draft, review, and circulate communications on the CEO's behalf when needed (emails, memos, announcements), ensuring tone, clarity, and confidentiality.
- Handle inbound correspondence (email, phone, letters) triage, respond, or route items with appropriate context and deadlines.
- Serve as the CEO's office point of contact for EXCO members, function heads, Group Office manage expectations and ensure timely responses.
Travel & Logistics
- Plan and coordinate domestic and international travel: itineraries, visas, accommodations, transportation, risk and security considerations.
- Prepare detailed travel packs (briefs, stakeholder profiles, agendas, objectives, and talking points).
- Support CEO participation in internal and external events, speaking engagements, and market visits coordinate with hosting teams
- Support the arrangement of Group Office guest visit logistics and meetings for CEO's office.
Executive effectiveness:
- Act as a thought partner, leveraging technology, judgement, and initiative to enable executive effectiveness, not just administrative support.
- Translates complexity into simple, executable actions.
- Proactively identify issues, propose options, and implement practical solutions rather than escalating problems.
- Anticipate executive needs and resolve matters independently where appropriate.
- Continuously improve workflows by leveraging technology to increase efficiency, clarity, and effectiveness.
Governance, Confidentiality & Compliance
- Handle confidential information with absolute discretion comply with company policies, information security, and ethical standards.
- Ensure required approvals and documentation are properly processed and archived.

THE PERSON:
- Bachelor's Degree
- Min 5 years of working experience, with at least 2 years in similar role
- Organizational Skills: Exceptional ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Communication Skills: Strong written and verbal communication skills to interact professionally with stakeholders at all levels.
- Technical Proficiency: High proficiency in office software, business applications, and virtual collaboration tools (e.g., Microsoft 365/Google Workplace, Zoom, Teams, calendar and document systems).
- Attention to Detail: Keen eye for detail to ensure accuracy in documentation and correspondence.
- Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality.
- Adaptability: Demonstrates strong flexibility and professionalism by effectively adapting to shifting priorities, managing unexpected tasks, and supporting CEO in a fast-paced and dynamic environment.
