Due to business expansion, we are seeking a Asset Management Assistant to be based in the Danang City, Vietnam and reporting to Senior Project Manager in the Utility department.
Role & Responsibilities
The Asset Management Assistant will provide critical operational, financial, and administrative support in managing the Silver Project wind farm. Based permanently in our Da Nang office, this role is designed for an experienced professional capable of independently driving procurement, handling contract management, monitoring budgets, and managing rigorous regulatory compliance and government reporting.
Key Responsibilities:
1. Procurement & Contract Management
- Vendor Sourcing & RFQs: Support the end-to-end procurement process for site operations, including vendor sourcing, issuing RFQs, and evaluating commercial bids.
- Contract Administration: Assist in drafting, reviewing, and managing commercial contracts, service agreements, and amendments with contractors and technical consultants.
- Deliverable Tracking: Track vendor deliverables and ensure compliance with contract terms, milestone schedules, and corporate policies.
2. Budgeting & Financial Tracking
- O&M Budgeting: Assist the Asset Manager in developing, updating, and tracking the annual operational budget for the Wind Operational Project.
- Invoice Verification: Monitor project expenditures, verify contractor invoices against actual site progress metrics, and interface directly with internal finance and accounting teams.
- Risk & Scenario Support: Support financial risk simulation tracking and scenario analysis to prevent project cost overruns.
3. Government Reporting & Compliance
- Statutory Submissions: Prepare, compile, and submit mandatory operational, environmental, and technical reports to local provincial and national Vietnamese government authorities.
- Regulatory Monitoring: Maintain up-to-date knowledge of regional renewable energy frameworks and regulations to safeguard the project's long-term compliance status.
- Documentation Bridge: Act as a reliable documentation and compliance bridge between site teams, technical consultants, and external regulatory bodies.
4. General Office Management & Administration
- Document Control: Oversee and streamline all general office paperwork, corporate correspondence, and project documentation/archiving workflows.
- Logistics Coordination: Manage travel logistics, site visit schedules, and administrative support for corporate leadership and technical auditors during asset site visits.
5. Maintenance Planning & Operational Tracking
- O&M Schedule Tracking: Monitor and track the Preventive Maintenance (PM) schedules submitted by O&M Site Manager / O&M contractors to guarantee alignment, optimize asset availability, and minimize planned turbine downtime.
- Incident Log & SLA Control: Maintain a centralized log of all Corrective Maintenance (CM) activities, tracking vendor response times, technical resolution efficiency, and contractor compliance against established service level agreements (SLAs).
- Spare Parts Oversight: Oversee site inventory tracking for operational consumables and critical spare parts, flagging potential shortfalls prior to major maintenance cycles.
6. Project Scheduling & Performance Monitoring
- Master Progress Control: Utilize structured project management tools to track and coordinate the comprehensive operational activities, transition metrics, and punch-list actions.
- Performance Dashboards: Consolidate and monitor technical site asset performance indicators - including energy yield production, turbine availability factors, and technical grid loss data - into crisp weekly and monthly dashboard reporting decks.
- Critical Path Management: Proactively analyze operational schedules to detect flag bottleneck risks or resource gaps to the senior managers before they impact milestone deadlines.
Ideal candidate should possess;
- Professional Experience: Minimum of 3–5 years of solid professional experience in asset management, procurement, or project control. Direct experience within the Vietnamese wind energy sector is highly preferred.
- Educational Background: Bachelor's degree in engineering, Project Management, Business Administration, or a related field from an accredited institution.
- Language Mandatory: Absolute fluency in English (both written and spoken) is mandatory for stakeholder communication and management reporting. Full proficiency in Vietnamese is required for government reporting and local vendor negotiations.
- Technical Systems: Proficient in collaborative project management platforms, advanced MS Office/Excel, and structured asset document control systems.
