Role Description The Administrative Specialist is a full-time, on-site role based in the Philippines. This role is responsible for managing day-to-day administrative tasks such as organizing documents, maintaining records, checking the inventory and supporting internal communication across teams. The Administrative Specialist will assist with reception duties, handle phone and email inquiries, and provide customer-facing support when needed. The role includes preparing basic reports, supporting finance-related tasks such as invoice tracking and expense documentation, and coordinating with vendors and partners. The Administrative Specialist will also help improve office procedures, support internal events, and ensure a smooth, professional working environment.

Qualifications

  • Strong administrative assistance skills, including scheduling, document management, and records maintenance.
  • Effective communication and customer service skills to interact professionally with clients, partners, and team members.
  • Solid analytical skills and basic finance skills to support data entry, reporting, and invoice or expense tracking.
  • Proficiency in office software (e.g., word processing, spreadsheets, email, and calendars) and comfort learning new tools.
  • Excellent organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines.
  • Ability to work on-site full-time in the Philippines and collaborate with cross-functional teams.
  • Relevant diploma or degree in Business Administration, Office Management, or a related field is an advantage.
