Job Summary:
We are looking for a proactive and detail-oriented Admin Intern to support daily office administration and operational activities. This role will assist in office management, procurement coordination, vendor liaison, expense administration, and employee support to ensure smooth office operations.
Key Responsibilities
Daily operations & hospitality
- Support daily office operations and administrative activities.
- Welcome guests/vendor and assist in organizing/preparing meeting rooms
- Coordinate with building management and external service providers regarding office-related matters.
Invoice and payment
- Track invoice issuance and follow up on payment
- Prepare and follow up on Payment Orders (POs) in Workday
- Maintain proper documentation and filing of procurement-related records.
Expense claims
- Support administrative documentation, including collecting, verifying and coordinating with HR and Finance teams for approval processing.
- Ensure timely submission and proper record management of expense claims.
Logistics & supplies
- Support office supply management, including stationery and pantry inventory tracking and ordering.
- Assist in travel arrangements
- Coordinate purchasing and replenishment to ensure sufficient stock availability.
- Maintain organized inventory records.
Filing & archiving
- Maintain organized physical and digital filing system for records and office documentation
Internal coordination
- Provide administrative and logistical support for company events and celebrations (material preparation, execution and vendor coordination)
Employee Administrative Support
- Provide administrative support to employees when needed.
- Assist with other ad-hoc administrative tasks and office support activities.
Requirements
- Final-year student or fresh graduate in Business Administration, Human Resources, Accounting, Finance, or related fields.
- Good organizational and coordination skills.
- Detail-oriented with strong follow-up capability.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
- Ability to multitask and work independently.
- Basic English communication skills are preferred.
