I. Job Description
1. Front Desk Management
Ensure compliance with ISO 27001 (physical security controls and policy management).
Ensure compliance with ISO 14001 and ISO 45001 (work environment control, electricity and waste management, hazardous waste handling, fire prevention, first aid, and related policies).
Manage guest reception and hosting.
Handle incoming telephone calls professionally.
Perform administrative support tasks, including office supplies, company transportation (taxi cards, Grab), telephony, and postage.
Motivate, engage, and supervise the front desk team.
2. Office & Building Infrastructure Management
Plan and ensure regular maintenance of non-IT assets.
Ensure the office and building facilities are safe, clean, and well maintained.
Coordinate, communicate, and follow up with office building to ensure all infrastructure-related requests are completed in accordance with contract requirements.
Act as the internal point of contact for office facility and infrastructure support.
Manage non-IT asset disposal and liquidation.
3. Travel Management
Arrange visa applications for staff when required.
Coordinate domestic and international flight and accommodation bookings.
Maintain and manage the travel database.
4. Purchasing & Company Event Support
Coordinate and support departments in organizing company events.
Manage non-IT procurement in compliance with the Procurement Process and Sup-plier Management Policy.
II. Required Skills and attributes
Education & Experience
College degree or relevant qualification in Business Administration, Secretarial Studies, or a related field.
Minimum 1 year of experience in a similar administrative role.
Skills & Competencies
Strong communication skills in both English and Vietnamese, including written and verbal communication.
Professional telephone handling skills.
Proficient in Microsoft Office applications (Word, Excel, and other office tools).
Strong organizational and time-management skills with the ability to manage multiple tasks effectively.
High attention to detail and accuracy.
Proactive, responsible, and service-oriented mindset.
Ability to work independently and collaborate effectively within a team.
Professional attitude with a strong sense of confidentiality and information security.
Willingness to learn and adapt to a dynamic work environment.
