Job Description

SCOPE OF POSITION

  • Assists the SVP, Hospitality and the Hospitality Management Office with administrative and general assignments.
  • Ensures the efficient day-to-day administration of the department.
  • Cooperates with other departments to support the smooth operation and management of the resort hospitality operations.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

  • Fulfils the day-to-day administrative needs of the department.
  • Performs all duties within the framework of Company norms and the Hotel's internal regulations.
  • Keeps confidential information strictly confidential, in line with the Company's confidentiality and non-disclosure requirements.
  • Provides secretarial and clerical support to the SVP, Hospitality as required.
  • Takes and transcribes minutes of meetings.
  • Prepares correspondence (fax, letters, memos, complimentary vouchers, etc.) as assigned, using the department's coding system for tracking.
  • Opens and dispatches mail relating to the department.
  • Maintains office supplies stock.
  • Stays informed of the SVP, Hospitality's schedule and activities to help identify and manage priorities.
  • Inputs data into the computer system as required.
  • Arranges appointments for the SVP, Hospitality and provides reminders of appointments and meetings.
  • Handles incoming and outgoing telephone calls and faxes.
  • Maintains contact listings, including Owner contacts, hotel contacts, and supplier companies.
  • Performs other reasonable duties as assigned by the SVP, Hospitality.

REQUIREMENTS

  • Excellent verbal and written communication skills in English.
  • Meticulous, organized, polite, approachable, and attentive.
  • Excellent administrative and IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook) and hotel systems such as Opera PMS (or equivalent).
  • Committed to delivering a high level of customer service, both internally and externally.
  • Flexible and able to respond to a range of different work situations.
  • Able to work well under pressure.
  • College degree or equivalent relevant experience.
  • At least 2–3 years of relevant experience.
