Job Description

Overall Job Purpose:

Procurement Executive is responsible for managing internal purchasing activities, and overseeing promotional material inventory, supporting daily accounting operations, controlling office expenses. The role ensures the accuracy of financial transactions, compliance with company policies, timely reporting, and smooth administrative support for the office.

Job duties include but are not limited to:

Expense Control

  • Monitor and verify all office-related expenses, including taxi usage, courier services, and operational costs.
  • Validate receipts, usage limits, and monthly courier/taxi billing.
  • Prepare monthly expense verification reports by required deadlines.
  • Flag abnormal or noncompliant spending for timely review.

Internal Purchasing

  • Handle purchasing requests for office supplies, services, promotional materials, and operational needs.
  • Source suppliers, compare quotations, and ensure cost-effectiveness aligned with purchasing policies.
  • Create and manage PR/PO processes, ensuring correct approvals and documentation flow.
  • Track order status, follow up with suppliers, and confirm delivery against required specifications.
  • Maintain supplier records, contracts, and purchasing data for audit readiness.
  • Ensure purchasing activities comply with company regulations, budget constraints, and internal control requirements.

Promotional Material Inventory Management

  • Maintain accurate stock levels of promotional items and ensure proper recording of inbound/outbound materials.
  • Verify stock for each order and coordinate deliveries twice per week (Tuesday & Thursday).
  • Conduct bimonthly inventory checks and prepare inventory reports.
  • Ensure storage, handling, and documentation meet company procedures.

Accounting Operations

  • Process vendor payments in compliance with company regulations and ensure readiness of supporting documents.
  • Upload weekly payment files and coordinate with BNP for payment execution.
  • Perform monthly bank reconciliations and BBR vs X3 data reconciliation to ensure accuracy of financial records.
  • Support Budget/Latest Estimate (LE) data input and quarterly financial submissions.
  • Handle Personal Income Tax (PIT) responsibilities, including:
  • Employee dependent declarations
  • PIT invoice issuance (weekly)
  • Monthly and quarterly PIT reporting to tax authorities
  • Annual PIT finalization for employees
  • Support internal and regional audits with required documentation.
  • Maintain organized accounting records according to audit and compliance standards.

Administrative & Adhoc Support

  • Support midyear, yearend, and other internal company events.
  • Assist with additional accounting, purchasing, or administrative tasks as assigned by management.

Job Requirement

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field.
  • 3-5 years of experience in accounting, purchasing, or office administration.
  • Good understanding of Vietnamese tax regulations (PIT/VAT) is an advantage.
  • Proficiency in MS Excel and experience with ERP/accounting systems (X3, BBR preferred).
  • Strong attention to detail and accuracy.
  • Good communication skills and supplier management capability.
  • Ability to manage multiple tasks and meet strict deadlines.
