2. About the Role

STEAM for Vietnam is launching OctoAI to support both teachers and learners with a self-paced, interactive, classroom-ready experience. As Finance & Admin Specialist, you own day-to-day accounting, grants compliance, procurement, and office/ops rhythmsso Product, Education, and Growth teams can move quickly and safely.

3. What You'll Do

1) Finance & Compliance

  • Own bookkeeping, reconciliations, monthly close, and management reports.
  • Manage budgets/forecasts, cash flow, vendor payments, and reimbursements.
  • Handle grants finance (donor rules, cost allocation, documentation) and audit readiness.
  • Ensure compliance with VN accounting/tax regulations and internal policies.

2) Admin & Operations

  • Run procurement & vendor management (quotes, contracts, POs), asset/inventory tracking.
  • Support HR/volunteer coordinator ops basics and travel/logistics.
  • Manage office/admin workflows, and events purchasing.

4. Who You Are

  • Background in accounting/finance/admin (NGO/edtech/startup a plus).
  • Solid grasp of Viet Nam accounting/tax; comfortable with audits and donor compliance.
  • Fast-paced operator: prioritize well, hit deadlines, keep tidy records.
  • Volunteer leadership: coordinate pods and set simple, repeatable routines.
  • Multi-cultural communicator: fluent Vietnamese; working English for partners and docs.
  • Tool-savvy: spreadsheets, accounting software, e-sign/docs; you love clean checklists.
  • Trustworthy & detail-oriented: high integrity with funds, contracts, and data.

Nice to Have

  • Experience with grants (budget vs. actuals, reporting schedules).
  • Familiarity with procurement best practices and basic legal/contract review.
  • Comfort setting up SOPs, dashboards, and light automation for ops.
