Role Purpose

We are looking for a well-rounded Executive Assistant to CEO to provide high-level executive, strategic, analytical, project management and administrative support to the CEO. The role coordinates across the CEO, Board, Sales & MKT team; internal departments, and strategic partners to ensure priorities are translated into clear actions, timely follow-up and effective execution.

Key Responsibilities

Strategic & Business Support

Track strategic initiatives, business performance; prepare regular and ad-hoc reports, research papers, executive summaries and presentations.
Work with Business Managers and the CEO to prioritize key issues and opportunities, translate priorities into action plans and communicate strategic roadmaps to relevant stakeholders.
Monitor progress, identify risks and proactively highlight issues requiring CEO attention.

Project & Key Account Management

Coordinate stakeholders, follow up on actions, prepare status updates and escalate delays or critical issues.
Attend key meetings where required with the CEO and ensure decisions and next steps are executed.

CEO Office & Stakeholder Coordination

Manage the CEO's calendar and agenda, prioritize requests and protect time for strategic priorities; provide reminders and meeting briefings.
Coordinate with Board members, internal departments and strategic partners; handle sensitive information with discretion.
Coordinate strategic meetings and presentations when required by the CEO.

Business Intelligence & Sales Reporting

Coordinate with Business Manager to conduct market, competitors, business development and industry research and convert findings into concise, actionable insights.
Coordinate and work with Business Manager and Sales Department to frequently update sales revenue and prepare sales reports as requested; maintain timely and accurate CRM updates for Key Account projects.

Meetings, Communication & Relationship Management

Prepare agendas, materials and logistics; document key decisions, actions and deadlines and maintain follow-up trackers.
Draft/proofread correspondence, letters, memos, reports and presentations for the CEO.
Support management of important stakeholder relationships, including scheduling, follow-ups and appropriate relationship-building activities.

Travel, Expenses & Special Projects

Coordinate CEO travel, itineraries, flights, hotels and related logistics while monitoring costs against budget.
Collect and analyze expense information, coordinate claims with Accounting and highlight costs requiring adjustment.
Undertake special research, analysis, strategic or operational projects assigned by the CEO.

Key Requirements

Bachelor's degree or above in Business Administration, Finance, Economics, Management, International Business or related fields.
3+ years of relevant experience in Executive Assistant, Executive Office, Business Analyst, Project Management, Strategy, Sales Operations or similar roles.
Experience supporting a CEO, Managing Director, Country Manager or senior executive is highly preferred.
Strategic and commercial mindset; able to understand priorities beyond routine administration.
Strong analytical, project management, planning, organization and follow-up skills.
Excellent written and verbal communication with senior stakeholders.
High discretion, maturity, executive presence and confidentiality.
Proactive problem solver with strong attention to details and ability to manage multiple priorities.
Strong Microsoft Excel, PowerPoint, Word, with AI skills, automation tools are an advantage.
Fluent business English, particularly for reports, presentations and communications
