The Role

The Company Secretarial Senior / Executive (Group Secretary) is a full-time, on-site role based in WP Kuala Lumpur. This role involves handling day-to-day corporate secretarial work for a portfolio of clients, including preparing and filing statutory documents, maintaining corporate records, and updating registers. The individual will draft resolutions, minutes, and correspondence, and assist in organizing board and shareholder meetings to ensure governance and compliance requirements are met. The role also includes providing administrative and executive support to senior management, liaising with clients and regulatory authorities, and supporting advisory work on corporate exercises such as restructurings and share issues. The person in this position is expected to manage deadlines, monitor regulatory changes, and ensure timely and accurate compliance across assigned entities.

Who We're Looking For

We're seeking motivated individuals who are eager to build a career in corporate secretarial services. Ideal candidates should have:

  • Knowledge of corporate governance, regulatory requirements and compliance with (5+ years of experience)
  • Well verse with Malaysia Companies Act 2016 (5+ years of experience)
  • Oversee all company secretarial matters for the organisation and its subsidiaries. 
  • Manage board and committee meetings, including preparation of agendas, minutes, resolutions, and meeting materials. 
  • Maintain and update statutory registers, corporate records, and governance documentation.
  • Provide guidance to the Board and senior management on corporate governance best practices.
  • Liaise with external regulators, auditors, legal advisors, and stakeholders.
  • Lead, mentor, and develop the company secretarial team.
  • Support corporate exercises such as restructuring, acquisitions, share issuances, and other strategic initiatives. 
  • Relevant experience or a qualification in Law, Business Administration, or related field is a plus
  • Proficiency in Mandarin/Chinese language is an added advantage
