Purpose / Key Responsibilities:

This role is responsible for managing end-to-end talent acquisition, onboarding, employer branding, employee engagement, and internal communication initiatives. The position ensures a consistent and positive employee and candidate experience, supports HR projects and surveys, and strengthens the company's employer brand and internal communication effectiveness.
Scope of work: Fresenius Kabi Vietnam JSC – mainly for MU, The Representative Office of Fresenius Kabi_Asia Pacific Limited in Ho Chi Minh City

Major Duties & Responsibilities:

Report Adverse Drug Reactions (ADRs) and Product Quality Complaints about Fresenius Kabi's products from Vietnam market to the responsible function (NSO for ADRs and QM for Product Quality Complaints) immediately after receipt, but latest within 1 calendar day.

Manage end-to-end recruitment process including sourcing, screening, interviewing, reference checks, and offer management.
Develop and execute recruitment plans aligned with workforce planning (quarterly/yearly).
Build and maintain strong talent pipelines through multiple sourcing channels (company website, job boards, social media, and networking).
Ensure candidates have a positive experience throughout the interview process and receive timely feedback on their results.
Evaluate and select recruitment channels and sources that provide the highest return on investment for different roles, balancing quality and cost-effectiveness.
Builds a quality relationship with candidates, academics and external recruitment agencies; join in indoors or outdoors recruitment events (job fairs, seminars, etc)
Prepare and make job offers, negotiate terms with successful candidates to ensure internal equity and external competitiveness.

2. Onboarding & new hire administration

Execute onboarding programs to ensure smooth integration of new hires.
Collect and manage all necessary personnel documentation from new hires, ensuring compliance with company and regulatory requirements.
Manage new hire communications and onboarding announcements.
Handle Med Rep card issuance/withdrawal process.

3. Employer branding and Communication

Develop and implement employer branding and internal communication strategies to attract top talent.
Create engaging content (social media, career page, internal channels).
Represent the company at career fairs, industry conferences, and other events to increase brand awareness and build a talent pipeline.
Review and improve the candidate journey to ensure a positive experience from the initial point of contact through to onboarding. Gather and act on feedback from candidates to continuously enhance the hiring experience.

5.HR Surveys & Employee Insights

Coordinate Voice of Employee (VoE) and other engagement surveys.
Other Employee Surveys: Administer and analyze results from surveys such as the annual Fresenius Kabi Vietnam employee survey, exit survey, exit interviews, and any additional employee feedback initiatives.

6. HR Projects :

Lead or participate in HR projects related to TA, engagement, and communication.
Collaborate with cross-functional teams to ensure successful project delivery and alignment with overall HR strategy.

7. Policies and SOPs:

Prepare, update, and maintain all procedures, policies, and Standard Operating Procedures (SOPs) related to talent acquisition, employee engagement, employer branding, onboarding and offboarding.
Ensure all documents are compliant with legal and regulatory requirements and are regularly reviewed and revised to reflect current practices.
Communicate changes in policies and procedures to all employees and provide training as necessary to ensure understanding and compliance.

8.Talent Acquisition Support – Production Unit (PU)

Support end-to-end recruitment activities for PU, including job posting, candidate sourcing, screening, and shortlisting.
Maintain and manage applicant tracking systems and candidate databases.
Prepare and communicate new hire announcements for PU.
Support employer branding, communication, and recruitment marketing activities for PU.

9. Ad-hoc tasks

Requisite Qualification & Experience

Bachelor's degree in human resources, business management
5+ years of experience in talent acquisition, employer branding, HR management
Knowledge of diverse sourcing channels and techniques, including social media recruiting, job boards, and networking in pharmaceutical industry.

Skill

Excellent communication and negotiation skills in Vietnamese/English
Strong skills in evaluating candidates skills, experience, and cultural fit, with the ability to make data-driven hiring decisions.
Proficient skill in designing and executing employer branding strategies to attract talent in competitive markets.

Strong analytical and problem-solving skills.
Proficiency in HR software and digital communication platforms (e.g., LinkedIn, recruitment tools, and social media).
Ability to influence stakeholders and collaborate effectively with senior leaders and cross-functional teams.
