Job Description
B. DUTIES & RESPONSIBILITIES
MAIN TASKSYou have to input both of English & Vietnamese. The English version is preferred the first
Agency Sales Support:
  • Approve PR/Payment for all offices expenses (on Sharepoint & Lawson system)
  • Review monthly payment of temporary office
  • Review extra phone expense deduction
  • Coordinate with Sales Secretary to organize Sales activities
  • Collect and check documents
  • Process cash advance reimbursement
  • Checking Sales activity report from Secretary
  • Making cash in – cash out report

Agency Controllable Expenses:
  • Prepare & consolidate budget plan for Agency
  • Controllable Expenses Review:

+ Review the monthly controllable expenses
+ Clarify unusual expense and notify to CAO/AMT
  • Control budget of Offices charged to WA7013, WA80171 and WA8017

Agency Procurement:
  • Support Agency workshops (as assigning) following procurement process
  • In-charge of purchasing goods as name card, nametag, calendar, moon cake.. and other goods when there is needs from Agency Contest Team.
  • Control the payments from COS/IT departments
  • Make payments for COS/IT/Events departments as budget holder

CAD/RH Model Support:
  • Support/ Organize the conferences, meetings, career opportunity program and make the payments.
  • Manage/ Control the monthly Activities allowance report.
  • Implement/ enforce the procurement as the Company’ standards
  • Negotiate and choose the suppliers with the best price/service as per procurement standards
  • Coordinate with Procurement team to proceed bidding and follow up the bids assessed results
  • Have the contract signed off with supplier
  • Follow up to ensure the purchasing follow agreed schedule
  • Liquidate contract and proceed payment to supplier
  • Proactively aware and report unethical or non-compliant practices

Other tasks assigned by line manager/Head of Department
  • Handle day-to-day arisen problems in department.
  • Join training class organized by department and company

C. JOB SPECIFICATION
1.
EDUCATION / TRAINING:
Bachelor’s degree, preferably in Business Administration or Accounting
4.
EXPERIENCE:
_ Experience in procurement management & budget control
_ Working experience in life insurance is preferred.

PROFESSIONAL / TRADE QUALIFICATION
5.
COMPUTER PROFICIENCY:
_ Good at office software (Word, PowerPoint…)
3.
COMPETENCIES:
_ Good ability in speaking and writing skill in both Vietnamese and English
_ Dependability/ Accuracy/ Willingness to accept responsibility
_In order competency

Internal: Agency Development Team; Agency Director; Other departments across the company.
