Job Description:
  • Create and maintain a front desk that is warm, professional, and secure to all guests, service providers, and Shopee team members
  • Responsible for smooth and timely coordination for couriers in and out of the Shopee office
  • Assist in the onboarding process for new hires. Delivery of parking cards, access cards, and gifts on their first day at the office
  • Work with building management for registering any necessary forms for office services
  • Create and maintain a comfortable and workable workplace for the Shopee team. This includes ensuring all the necessary stocks are timely and well-arranged
  • Maintain the office condition and arrange necessary repairs
  • Travel arrangements for employees on their business trip
  • Ensure that all items are invoiced and paid on time
  • Track stocks of office supplies, equipment, furniture, and place orders when necessary
  • Place order for Food & Beverage and daily breakfast for the office
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Event arrangement:

a) Physical arrangements for meetings/ training at the office
b) Arranging internal events, HR Admin is responsible for internal events and celebrations events are well arranged and specifically customized to warm up and excite everyone
c) Internal events: campaign day, birthdays, condolence offerings, etc.
d) Celebration events: Mid-Autumn Festival parties, Christmas parties, Year-end parties, Children's Day parties
  • In secretarial work besides main accountability as above, the HR Admin can prioritize time relatively to support other team members in the secretarial work which assists them to fulfill their tasks that are in line with the organization's priority
  • Perform other relevant duties when needed

  • More than 3 years of working experience, in the same role
  • Hold an understanding of e-commerce is a big plus
  • Competency in Microsoft applications including Word, Excel, and Google mail
  • Strong communication and negotiation skills (in both written and verbal), detailed-oriented, positive thinking, and good work ethic
  • Multi-tasking and time-management skills, with the ability to prioritize tasks
