Description

General affairs :

Take full responsibility for all office administration activities and ensure smooth daily operations :

1 . Providing front desk duties support in a friendly, courteous, and pleasant manner

2 . Manage travel for team members, process staff expense and travel claims

  • Lead company events, internal activities, and employee engagement logistics

4 . Visa preparation for employees going on business trips overseas and visa/work permit for MD legal work in Vietnam Office administration

5 . Overseeing general office operations for 3 offices in Hochiminh , Hanoi, Cambodia

6 . Take care of the office in good clean order and contact the building service team for any issues with lights, electricity, air conditioners, and safety.

  • Oversee office budget, track expenses, and optimize administrative costs

Facilities Management

8 . Manag e office assets such as printing devices, audio/visual equipment as well as items related to the physical office space and related supplies.

9 . Coordinate with IT department on all office equipment

  • Hand le purchase of goods and services, prepare documents for making payments Managing Inventory List of all administrative files, equipment, computers, machinery, furniture, technical equipment, etc. in the Office must be maintained and updated timely .

Process Improvement & Control

  • Build and standardize admin & HR operation processes
  • Identify gaps and propose improvements to increase efficiency and reduce risks
  • E nsure compliance with company policies and local regulations

HR Operations Support

  • Support daily HR operations including onboarding, offboarding
  • Assist in implementing HR policies, processes, and internal controls
  • Work closely with HR team to improve HR operational efficiency

Other duties

17 . Undertake other tasks as and when assigned by the Immediate Superior and/or Management.

Profile Requirements

  • University/College graduate
  • English good at writing and speaking
  • Computer literacy: proficient with MS Word, MS Excel, PowerPoint, and other online search engines
  • Quick learner and have the ability to multi-task and have a can-do attitude
  • Discipline, strong follow up, responsible and attentive to detail
  • Good interpersonal and organizational skills
  • Able to communicate effectively with different levels in an organization
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity & forward-looking thinker, who actively seeks opportunities and proposes solutions
  • Highly resourceful team player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion and be adaptable to various demands
  • Willing to support other team members.
