Job Description
Key Accountabilities
- Completes a broad variety of administrative tasks for the President & CEO including, but not limited to: managing an extremely active calendar of appointments completing expense reports arranging complex and detailed travel plans, itineraries, and agendas and compiling documents for travel-related meetings
- Plans, coordinates and ensures the BOD's schedule is followed and respected. Works closely and effectively with the BOD to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Provides a bridge for smooth communication between the BOD's office and internal departments
- Successfully completes deliveries with a hands-on approach, including drafting acknowledgmentMeeting-related tasks including assisting in scheduling meetings, attending all required meetings, coordinating the agenda of senior management team meetings and off-sites, and all staff meetings, advance distribution of materials before meetings in electronic/paper format, prepare and follow up with meeting minutes. letters, correspondence, and other types of documents as required. Review all documents submitted to BOD to ensure they are followed the required standards
- Other tasks assigned by BOD.
Key Requirements
- At least 1 year in the same position, preferably in an E-commerce/logistics company or more than 1000-employees scale company
- Bachelor's degree, preferably with legal background.
- Proven ability to handle confidential information, and be adaptable to various competing demands
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, management staff, external partners, and others
- Strong organizational skills and handling multiple tasks smoothly with excellent attention to detail
- Expert-level written and verbal communication skills in English and Vietnamese
- Understanding of contract components and having the ability to review documents
- Strong Microsoft office skills, including Microsoft Excel and Microsoft word. Be familiar with Google suites and online meeting platforms.
