Job Description

Job Purpose

Supports the Site Manager and the site management team with various administrative and secretarial tasks such as handling correspondence, preparing reports, organizing, and taking minutes of meetings, and receiving guests so that the Site Manager has to perform as few administrative tasks as possible and can focus on achieving the goals of the site.

Key Accountabilities

1. Coordinate schedules among executive team members and plan the logistics of each meetings
2.Recruit, interview, hire and train office support staff
  • Develop guidelines to design a position and hire and train the best person to fill it.
  • Ensure that the staff member does her job right, and follows the rules of the organization.

3.Prepare important documents for reports, meetings, and memos
  • Outline an agenda of key item and set the tone, goals for the meeting.
  • Identify the person that help to accomplish the goal and who will be affected by the meeting's outcome.
  • Send out any pre-reading a day or two in advance of your meeting and make it clear that participants are expected to review materials before
  • Integrate a collaborative document to record meeting minutes.
4.Assist with research and writing reports, or independently writing reports on behalf of upper-level management
  • Clear on the report's purpose
  • Gather the information, financial data, charts and graphs to submit report on time.
  • Independent analysts, prior to writing reports

5.Organize and plan all company outings and events


  • Strong project management and organizational skills
  • Exceptional time management abilities, including managing multiple calendars
  • Good administrative skills, including filing and document organization
  • Excellent communication, including writing, email and memo creation, interpersonal communication, and customer service
  • Great active listening skills
  • Basic computer literacy and troubleshooting abilities
  • Fast problem-solving abilities
  • Teamwork and collaboration


Bachelor's degree in business administration, marketing, or another relevant field
