JOB SUMMARY
We are seeking a proactive and data-driven B2B Transportation Sourcing Specialist to develop, manage, and evaluate our network of transportation contractors tailored to B2B operational needs. This role plays a critical part in ensuring that each transport route and client project is equipped with the right vendor solutions regarding fleet capacity, service quality, cost efficiency, SLA compliance, and scalability.
The successful candidate will act as a key market intelligence hub and a vital bridge between Sales, Operations, Pricing, Finance, Legal, and external transport vendors. You will be responsible for gathering market insights, obtaining competitive quotes, comparing vendor capabilities, and providing foundational data to support bidding processes, RFPs/RFQs, and seamless operational deployment.
Key Responsibilities:
A. Vendor Sourcing & Capacity Evaluation (55% Focus)
Demand Reception & Vendor Sourcing (30%):
- Receive and analyze requirements from Sales and Operations regarding transport routes, truck types, volume, frequency, target price, and bidding timelines.
- Clarify missing information and operational constraints before launching sourcing activities.
- Proactively source new transport vendors categorized by route, region, vehicle type, industry specificities, and operating models.
- Build and maintain an updated pool of potential, primary, and backup vendors for each region and key route.
- Deliver suitable vendor options within internal deadlines to support new route setups or ad-hoc capacity demands.
- Ensure each key route has at least 2–3 viable vendor options to optimize costs and secure operational continuity.
Vendor Capability Assessment & Database Management (25%):
- Engage with existing vendors to constantly update information on fleet size, vehicle types, owned vs. sub-contracted fleets, geographical strengths, backhaul availability, and scalability.
- Evaluate vendors dispatching capabilities, driver quality, booking acceptance rates, backup capacity, industry experience, and SLA commitment.
- Identify strengths, weaknesses, operational risks, and optimal route coverage for each vendor.
- Maintain a ready-to-use vendor capability database categorized by strong routes, truck types, coverage, and reliability levels.
B. Pricing Analysis, Bidding Support & Operational Alignment (45% Focus)
Quotation Management & Bidding Support (30%):
- Issue Requests for Quotation (RFQs) to vendors utilizing standard, unified formats.
- Clarify pricing structures and cost components: including/excluding fuel, toll fees, waiting fees, loading/unloading, gate fees, overtime charges, documentation, and other surcharges.
- Consolidate, analyze, and compare vendor rates based on routes, truck models, operating models, and service terms.
- Prepare comprehensive vendor data, purchasing costs, backup solutions, and risk assessments to directly support client bidding and pricing strategies.
- Ensure vendor quotes are meticulously summarized with clear terms and conditional clauses to eliminate input data shortages during RFPs/RFQs.
Performance Tracking & Cross-Functional Coordination (15%):
- Update the master vendor database continuously, including contact details, primary routes, fleet capacity, reference pricing, risk notes, and historical performance.
- Partner with Operations to execute pilot runs for new routes and strictly record initial operational outcomes.
- Aggregate feedback regarding vendor service quality, including vehicle deployment, punctuality, incident resolution, driver attitude, and POD/document return.
- Propose strategic actions to maintain, expand, restrict, or replace vendors based on actual performance data and periodic evaluations.
QUALIFICATIONS
Experience:
- Minimum 3 years of experience in logistics, transportation, fleet dispatching, transport procurement, or freight sourcing.
- Proven experience working directly with trucking companies, individual drivers, dispatch teams, or third-party logistics (3PL) providers is a strong advantage.
- Hands-on experience in supporting client bidding, RFQs/RFPs, or transportation tenders is highly preferred.
Skills & Competencies:
- Core Integrity: High level of integrity, objectivity, and transparency when handling vendor selection, rate negotiations, and contracts.
- Industry Knowledge: Solid understanding of road freight transportation, truck specifications, route planning, payload capacities, container/box types, and B2B delivery complexities.
- Cost & Model Expertise: Deep comprehension of transport cost structures (trip rates, fuel variables, tolls, handling, waiting fees, etc.) and vendor management models (primary/backup, fixed routes, spot bookings, monthly charters, and multi-drop deliveries).
- Negotiation & Communication: Strong communication, cold-calling, information-gathering, and negotiation skills to optimize costs and terms with vendors.
- Data Analysis: Proficiency in MS Excel for managing extensive databases, rate cards, vendor comparisons, and analytical reporting.
- Collaboration & Mindset: Highly proactive, detail-oriented, and resilient in sourcing new leads. Possess a strong service mindset with the ability to collaborate effectively across multi-functional teams (Sales, Operations, Pricing, Finance, Legal).
Education:
- Bachelor's or Associate's degree in Logistics, Supply Chain Management, Economics, Business Administration, or related fields.
